Job Overview: Greet and register guests, provide prompt and courteous service, and close out guest accounts upon completion of stay to meet high standards of quality.
Responsibilities and Duties:
- Greet customers immediately with a friendly and sincere welcome. Use a positive and clear speaking voice, listen to understand requests, respond with appropriate action, and provide accurate information such as outlet hours and local attractions.
- Complete the registration process. Input and retrieve information from a computer system, confirm pertinent information including number of guests and room rate, promote marketing programs, select rooms based on guest needs, code electronic keys, and provide welcome folders with room keys, certificates, coupons, and refreshment center keys as appropriate. Requires continual standing and movement throughout the front office.
- Handle payments and financial transactions. Verify and imprint credit cards for authorization, handle cash, make change, balance the house bank, accept and record vouchers, travelers' checks, and other payments, perform arithmetic functions, and post charges to guest accounts.
- Answer and manage phone communications. Promptly answer calls using positive and clear English, input messages into the computer, retrieve messages, and communicate content to guests. Also, retrieve mail, packages, and facsimiles as requested.
- Manage guest accounts and resolve issues. Close guest accounts at check-out, ascertain satisfaction, research and resolve problems within guidelines, or escalate to a supervisor if needed.
- Handle guest complaints and emergencies. Conduct thorough research to develop effective solutions, resolve conflicts such as price issues or room problems, remain calm during emergencies, and plan detailed steps using judgment and discretion.
- Assist guests as needed. Summon guest service personnel for assistance, escort guests to rooms, and provide safety deposit boxes by escorting guests to the vault and assisting with locks.
- Operate office equipment. Use facsimile machines and photocopiers for sending, receiving, and copying documents, and notify guests of incoming faxes.
- Maintain filing and record-keeping. File registration cards in room number order and retrieve them upon guest check-out.
- Perform other duties as assigned. Assist PBX operators or reservations agents as needed.
