Job summary

Squamish Nation is seeking a Fleet Coordinator to oversee the coordination, maintenance, and scheduling of the department's fleet vehicles, ensuring safety and regulatory compliance. This role supports programs serving children, youth, families, and staff.

Reporting to the Manager, Administrative Services, the candidate will manage inspections, maintenance, and records while promoting a culture of safety and reliability within the Ayás Mén̓men Early Years and Youth Services team.

Qualifications

• Grade 12 completion.
• Unrestricted/Restricted Class 5 Driver's Licence.
• Valid BC Driver's Licence with clean driving record.
• Experience coordinating vehicle maintenance, inspections, records or transportation logistics.
• Experience driving passenger vehicles, vans or buses professionally.
• Knowledge of vehicle safety practices and fleet management principles.
• Proficiency with Microsoft Office applications including Outlook, Word and Excel.

Responsibilities

• Coordinate inspections, insurance renewals, and record management for all fleet vehicles.
• Schedule and track preventative maintenance, repairs, and vehicle inspections.
• Manage fleet vehicle bookings and scheduling to support program and operational needs.
• Maintain records related to vehicle insurance, maintenance, inspections, leases, and compliance.
• Coordinate seasonal tire changes and tire storage for fleet vehicles.
• Conduct regular vehicle cleaning and ensure vehicles are ready for use.
• Ensure vehicles are fueled, stocked, and prepared for daily operations.
• Complete daily vehicle inspections and pre-/post-trip procedures per ICBC rules.
• Track driver licensing requirements, abstracts, and defensive driving training.

Are you an organized and safety-focused transportation professional with a passion for supporting children, youth, and families? Squamish Nation is seeking a Fleet Coordinator to join the Ayás Mén̓men Early Years and Youth Services team.

Reporting to the Manager, Administrative Services, the Fleet Coordinator is responsible for the coordination, maintenance, scheduling, and safe operation of the department's fleet vehicles. This role ensures vehicles are compliant, well-maintained, and ready to support programming while also providing transportation services for children, youth, families, and staff. The Fleet Coordinator plays an important role in promoting safety, reliability, and operational excellence across department programs and services.

What You’ll Do

Coordinate inspections, insurance renewals, and record management for all fleet vehicles.

Schedule and track preventative maintenance, repairs, and required vehicle inspections.

Manage fleet vehicle bookings and scheduling to support program and operational needs.

Maintain accurate records related to vehicle insurance, maintenance, inspections, leases, and compliance requirements.

Coordinate seasonal tire changes and tire storage for fleet vehicles.

Conduct regular cleaning of vehicles and buses, ensuring they are safe, presentable, and ready for use.

Ensure all vehicles are fueled, stocked, and prepared for daily operations.

Complete daily vehicle inspections and pre- and post-trip procedures in accordance with ICBC regulations and organizational policies.

Track driver licensing requirements, abstracts, and defensive driving training completion for fleet users.

Perform routine vehicle and bus maintenance and coordinate repairs when required.

Promote a culture of safety, professionalism, teamwork, and compliance while supporting departmental goals and initiatives.

What We’re Looking For

Grade 12 completion

Unrestricted or Restricted Class 5 Driver's Licence.

Valid BC Driver's Licence with a satisfactory driving record and ability to meet Squamish Nation fleet requirements.

Experience coordinating vehicle maintenance, inspections, records, or transportation logistics.

Experience driving passenger vehicles, vans, or buses in a safe and professional manner.

Knowledge of vehicle safety practices, transportation regulations, and fleet management principles.

Proficiency with Microsoft Office applications including Outlook, Word, and Excel.

Strong organizational skills with the ability to manage schedules, records, and competing priorities.

Professional communication and interpersonal skills with the ability to work effectively with children, youth, families, staff, and external partners.

Demonstrated sound judgment, patience, integrity, and commitment to safety.

Ability to maintain confidentiality and exercise discretion when handling sensitive information.

Experience working within or alongside a First Nations community or organization is considered an asset.

Knowledge and understanding of Skwxwú7mesh Úxwumixw history, culture, customs, land, and People is preferred.
