Job summary

Thomas Cavanagh Construction Limited is seeking a Fleet & Equipment Data Analyst & Coordinator to optimize cost capture and asset utilization across the fleet. This role collaborates with Fleet, Operations, Finance, Maintenance, Procurement, and Project Management to maintain accurate cost profiles and validated deployment data.

The position focuses on equipment costing, lifecycle management, and data-driven project allocation.

Qualifications

  • Two to five years of experience in fleet analysis, equipment coordination, or asset management.
  • Experience with construction equipment or industrial fleets is preferred.
  • Advanced proficiency in Excel and data modelling.
  • Ability to connect financial data with field operating conditions.

Responsibilities

  • Maintain complete cost profiles for designated assets and monitor ownership/operating costs.
  • Coordinate asset allocation to divisions, yards, and locations; ensure correct cost coding.
  • Prepare analyses comparing actual costs to budgets and forecasts; identify cost-reduction opportunities.
  • Support capital budgeting, replacement planning, and life-cycle management of equipment.

Job description

The Fleet & Equipment Data Analyst & Coordinator supports the effective financial capture and operational management of the company’s equipment and vehicle fleet. This position is responsible for collecting, validating, and analyzing fleet data to improve equipment costing, project allocation, utilization, maintenance planning, replacement forecasting, and full life-cycle management.

Working closely with Fleet, Operations, Finance, Maintenance, Procurement, and Project Management, the incumbent will maintain accurate cost profiles for each asset and provide validated information regarding equipment deployment, retention, replacement, rental, purchase, and disposal.

Duties and Responsibilities:
Fleet Costing and Data Analysis
  • Manage, maintain and monitor complete cost profiles for designated assets.
  • Manage ownership and operating costs, including replacement cost, interest, lifecycle, fuel, labour, repairs, maintenance, licensing, insurance, telematics, transportation, and salvage.
  • Calculate hourly, daily, monthly, and per-kilometre equipment costs.
  • Update appropriate internal charge‑out and project allocation rates.
  • Compare actual equipment costs against budgets, forecasts, and established benchmarks.
  • Investigate cost variances and identify opportunities to reduce total cost of ownership.
  • Support capital budgeting and business cases for equipment purchases and replacements.
  • Identify and analyze operator factors both positive and negative which affect life cycles and cost of operation
Equipment Allocation and Utilization
  • Coordinate and perform the allocation of asset costs to divisions, yards, and operating locations.
  • Ensure equipment usage is assigned to the correct cost code, department, or business unit.
  • Report on utilization, availability, downtime, idle time, and production hours.
  • Identify underutilized, overallocated, or inactive assets to the responsible parties.
  • Analyze company-owned equipment costs against rental, lease, subcontract, and purchase options.
Equipment Life-Cycle Management
  • Maintain life-cycle records for each asset from acquisition through disposal.
  • Track equipment age, hours, kilometers, condition, maintenance history, reliability, utilization, replacement value, and market value.
  • Assist in maintaining replacement criteria based on age, operating hours, repair trends, downtime, safety, productivity, and residual value.
  • Prepare repair-versus-replace and retain-versus-dispose analyses.
  • Support the development of annual and multi-year capital replacement plans.
  • Document asset specifications, participate in research of emerging technologies, fuel alternatives, and industry trends.
  • Assist with disposal planning, trade-in evaluations, auction reviews, and resale-value analysis.
  • Conduct post-purchase and post-disposal reviews to compare actual results with projections.
Data Management and Reporting
  • Maintain accurate fleet master data of assets across maintenance, accounting, telematics, fuel, procurement, and project-management systems.
  • Audit data for missing entries, duplication, incorrect allocations, and inconsistent asset information.
  • Monitor and provide info and recurring reports

  • Providing data to Supervisors regarding operator performance
  • Convert operational data into clear findings for management.
  • Support the development of standardized fleet policies, processes, cost codes, and performance measures.
Coordination and Continuous Improvement
  • Coordinate information between Fleet, Maintenance, Finance, Operations, Procurement, Dispatch, and Project Management.
  • Follow up on missing meter readings, work orders, invoices, fuel transactions, equipment transfers, and allocation records.
  • Participate in fleet-planning, capital-budget, maintenance, and operational review meetings.
  • Document workflows and recommend improvements to data capture and reporting processes.
  • Support implementation and improvement of fleet-management, ERP, telematics, maintenance, and business-intelligence systems.
  • Assist with special studies related to fleet standardization, productivity, emissions, electrification, and operating efficiency.
Requirements:
  • Two to five years of experience in fleet analysis, equipment coordination, construction operations, maintenance administration, cost accounting, or asset management.
  • Experience with construction equipment, commercial vehicles, or industrial fleets is strongly preferred.
  • Understanding of equipment costing, depreciation, utilization, preventive maintenance, and capital replacement planning.
  • Advanced proficiency in Microsoft Excel, including pivot tables, lookups, formulas, data validation, and financial modelling.
  • Experience with fleet-management, ERP, telematics, maintenance, or business‑intelligence systems is an asset.
  • A valid driver’s license may be required.

Wage Range:

The salary range for this position in Ontario at the start of employment is expected to be between $70,000 per year and $80,000 per year. However, the range offered is based on local job market factors and may vary further depending on factors specific to the selected job candidate, such as job-related knowledge, skills, experience, and other objective business considerations.
