Your opportunity:

The David A. Dunlap Department of Astronomy & Astrophysics is actively engaged in a wide range of observational and theoretical research and offers Master of Science and Doctor of Philosophy degrees, as well as a wide range of graduate and undergraduate courses. Together with our sibling units, the Canadian Institute for Theoretical Astrophysics (CITA) and the Dunlap Institute for Astronomy & Astrophysics, there are close to 100 faculty members, post-doctoral fellows and graduate students here that make up a lively and diverse atmosphere in research, teaching and outreach. Our graduate students come to Toronto from around the world with a wide range of academic backgrounds.

Under the supervision of the Department’s manager, you will be responsible for the finance, payroll, and procurement functions of the Department. This role is crucial to the daily operations of the unit. You should be proficient with FIS, HRIS and Usource.. You must have demonstrable experience in reconciling the University of Toronto’s month-end financial statements. Additionally, you should be able to work independently and reliably, with strong skills in MS Outlook, SharePoint, OneDrive, and Excel. You will be expected to apply the University of Toronto’s finance, payroll, and administrative policies. Your experience in these areas makes you a valuable assetto the department.



Your responsibilities will include:

    Applying the generally accepted accounting principles to all financial tasksMonitoring, recording, reconciling and/or reporting on trust accountsPreparing and/or processing journal entriesGenerating standard financial reportsProcessing expense reimbursements, invoices, journal entries, purchase orders and bank depositsKeeping well-informed on key University and sponsor policies and trendsIdentifying and resolving individual financial discrepanciesLiaising with clients and vendors to resolve minor complaints and address issues

Essential Qualifications:

    Advanced College Diploma (3 years) in Accounting or acceptable combination of equivalent experience.Minimum three years of demonstrable experience in the financial administration of operating and grant accounts.Experience in processing purchasing orders in CAD and foreign currencyExperience using a range of enterprise systems including: FIS, HRIS, Usource, MS Outlook, Excel, Sharepoint, OneDrive.Experience working with digital files; maintaining digital filing system and uploading documents in SAP in a paperless office.Experience with processing payroll; liaising with internal & external contacts to resolve payroll and/or HRIS processing issuesExperience processing accounts payable/receivable, payroll, and expense claims according to the University Guide to Financial Management and HR policies.Experience monitoring, recording, reconciling and/or reporting on funding accounts for grants and operating accountsExperience verifying that supporting documentation of all FIS and HRIS entries are attached to financial records before processing.Experience handling sensitive and/or confidential information.Experience identifying and resolving individual financial and payroll discrepanciesExperience liaising with internal and external contacts to facilitate purchasing and/or procurement processesKeeping well-informed on changes to policies, procedures, collective agreements, and applicablelegislated requirementsStrong attention to detail with the ability to identify, analyze, and resolve discrepancies


Assets (Nonessential):

    Familiarity administering NSERC and CFI is an asset.Familiarity with payroll processing for USW casuals, CUPE U1, CUPE U3, and CUPE U5.
