Job summary

Rehoboth Medical Clinic is seeking an experienced Assistant Practice Manager to support daily operations, staff coordination, and high-quality patient services. The role collaborates with the Practice Manager, physicians, and admin teams to ensure efficient clinic operation and excellent patient flow.

The ideal candidate has hands-on medical office experience, strong organizational skills, and a track record of maintaining compliance with healthcare privacy and Manitoba Health billing processes.

Qualifications

• Minimum of three (3) years of professional experience working in a medical clinic admin role.
• Experience in family medicine or busy outpatient practice.
• Proficiency with EMR systems for scheduling, documentation and records.
• Knowledge of Manitoba Health billing, claims submission, and reconciliation.
• Excellent organizational, time management and multitasking skills.
• Strong written and verbal communication with patients and staff.
• Ability to coordinate activities and support staff in a fast-paced clinic.
• Understand patient confidentiality and healthcare privacy regulations.

Responsibilities

• Assist the Practice Manager with daily administrative and operational activities.
• Coordinate and support MOAs, receptionists, and other admin staff.
• Oversee patient registration, scheduling, referrals, and communication.
• Support physician scheduling and coordination between providers and staff.
• Monitor clinic workflows and implement efficiency improvements.
• Assist with onboarding, training, and scheduling of staff.
• Ensure accurate EMR management and related tasks.
• Support Manitoba Health billing, claims processing, and reconciliation.
• Address patient concerns and maintain excellent customer service.
• Maintain patient confidentiality and privacy compliance.
• Assist with inventory management and外 external service coordination.
• Prepare operational reports for management.
• Supervise operations in the absence of the Practice Manager.
