Job summary

Board Of Governors of Exhibition Place in Toronto seeks a seasoned Facilities Coordinator to lead housekeeping and labour services for events and tenants. You will estimate service needs, coach staff, and ensure safety, quality, and compliance with OHSA and WHMIS.

Qualifications

  • Post-secondary education in a discipline pertinent to the job function or an equivalent combination of education and experience.
  • At least three years’ experience in event or facility coordination.
  • Experience in supervising staff in a unionized environment dealing with large-scale events.
  • Ability to interpret collective agreements, Occupational Health & Safety Act, WHMIS, Ontario Building Code, etc.
  • Good interpersonal skills with the ability to communicate effectively both verbally and in writing at all organizational levels.
  • A team building mentality with a focus on service.

Responsibilities

  • Plan, coordinate, and supervise housekeeping and labour services for maintenance, events and tenants.
  • Develop estimates for housekeeping and labour services for events, tenants and internal projects.
  • Provide coaching to employees and ensure management expectations are met.
  • Coordinate and monitor inspection program to verify rental and grounds maintenance equipment are maintained in proper working order and inspections are conducted.
  • Verify and report employee timesheets for payroll department.
  • Provide feedback for continuous improvement projects that optimize housekeeping and labour processes.
  • Adhere to systems to help with time and motion analysis for labour activities.
  • Engage staff in safety awareness program document in facility services safety tracking matrix.
  • Report profit margins to manager for the assigned events.
  • Ensure all work orders are completed and documented with the event booking management system (EBMS).
  • Complete building/site audit prior to occupancy for events, and report/prioritize repairs and follow-up as required.
  • Participate in production and client meetings for assigned events, providing specialized technical information as needed.
  • Assist in the administration and enforcement of Health & Safety for the department, including the Occupational Health & Safety Act.

What can I expect to do in this role?

  • Engagein Facility Service programs such as training, AODA, propane management, LEEDpolicies and procedures, housekeeping master schedule, waste management, GBACcompliance and the administration and enforcement of the collective agreement.
  • Participatein the procurement procedure and supervise/schedule contractors such as softlandscaping, pest control, waste and recyclable removal, monitoring budgets andverifying work completion.
  • Ensurework is conducted in a manner that supports City compliance with theAccessibility of Ontarians with Disabilities Act (AODA), Workplace HazardousMaterials Information System (WHMIS), Ontario Building Code, TechnicalStandards and Safety Authority (TSSA), and the Occupational Health and SafetyAct (OHSA), etc.
  • Ensurescompliance with and a thorough understanding of the Collective Agreements; andcorporate and divisional policies, procedures and guidelines, and the Cityby-laws.
  • Performother duties as assigned.

  • Experienceutilizing software packages (word processing, spreadsheets, electronic mail,purchasing, work order management, Momentus, RPGS, ADP).
  • Goodinterpersonal skills with the ability to communicate effectively both verballyand written at all organizational levels.
  • Ateam building mentality with a focus on service.
