Job summary

Exhibition Place in Toronto, Ontario, invites applications for a Facility Coordinator who reports to the Facility Services Manager to supervise housekeeping, labour, and contracted services for events and tenants.

You will plan, coordinate, and supervise services, develop estimates, coach staff, monitor inspections, and manage timesheets and safety programs. A post-secondary background and 3+ years in event/facility coordination are required, along with a valid G licence.

Qualifications

  • Post-secondary education in a discipline pertinent to the job function or equivalent combination of education and experience.
  • At least three years’ experience in event or facility coordination.
  • Experience supervising staff in a unionized environment.
  • Possess a valid full G Class Ontario driver’s license in good standing.

What can I expect to do in this role?

Reporting to the Facility Services Manager, the Facility Coordinator supervises all activities and oversee all coordination related to Housekeeping, Labour, and contracted services for events, tenants.

  • Plan, coordinate, and supervise housekeeping and labour services for maintenance, events and tenants.
  • Develop estimates for housekeeping and labour services for events, tenants and internal projects.
  • Provide coaching to employees and ensure management expectations are met
  • Coordinate and monitor inspection program to verify rental and grounds maintenance equipment are maintained in proper working order and inspections are conducted.
  • Verify and report employee timesheets for payroll department.
  • Provide feedback for continuous improvement projects that optimizes housekeeping and labour processes.
  • Adhere to systems to help with time and motion analysis for labour activities.
  • Engage staff in safety awareness program document in facility services safety tracking matrix.
  • Report profit margins to manager for the assigned events.
  • Ensure all work orders are being completed and documented with the use of the event booking management system (EBMS).
  • Complete building/site audit prior to occupancy for events, and report/prioritize repairs and follow-up as required.
  • Participate in production and client meetings for assigned events, providing specialized technical information as needed.
  • Assist in the administration and enforcement of Health & Safety for the department, including the Occupational Health & Safety Act.
  • Carry out the implementation of facility management guidelines and operating procedures.
  • Engage in Facility Service programs such as training, AODA, propane management, LEED policies and procedures, housekeeping master schedule, waste management, GBAC compliance and the administration and enforcement of the collective agreement.
  • Participate in the procurement procedure and supervise/schedule contractors such as soft landscaping, pest control, waste and recyclable removal, monitoring budgets and verifying work completion.
  • Ensure work is conducted in a manner that supports City compliance with the Accessibility of Ontarians with Disabilities Act (AODA), Workplace Hazardous Materials Information System (WHMIS), Ontario Building Code, Technical Standards and Safety Authority (TSSA), and the Occupational Health and Safety Act (OHSA), etc.
  • Ensures compliance with and a thorough understanding of the Collective Agreements; and corporate and divisional policies, procedures and guidelines, and the City by-laws.
  • Perform other duties as assigned.
  • Post-secondary education in a discipline pertinent to the job function or an equivalent combination of education and experience.
  • At least three years’ experience in event or facility coordination
  • Experience in supervising staff in a unionized environment dealing with large-scale events.
  • Possess a valid full G Class Ontario driver’s license in good standing.
  • Ability to interpret collective agreements, Occupational Health & Safety Act, Workplace Hazardous Materials Information System, applicable codes, standards, guidelines and government legislation as they apply to electrical services.
  • Experience utilizing software packages (word processing, spreadsheets, electronic mail, purchasing, work order management, Ungerboeck, RPGS, ADP).
  • Good interpersonal skills with the ability to communicate effectively both verbally and written at all organizational levels.
  • A team building mentality with a focus on service.
