Job summary

New Flyer, a subsidiary of NFI Group, is seeking an Executive Office Administrator to support the CEO Office and senior leadership. This role involves coordinating schedules, preparing presentations, travel arrangements, and handling confidential communications with professionalism.

The successful candidate will be proactive, organized, and able to manage multiple priorities while supporting key business priorities across the organization. Travel between Canada & US is expected occasionally.

Qualifications

  • Post-secondary education in business administration or related fields.
  • 1–3+ years of administrative or coordination experience supporting senior leadership.
  • Strong proficiency in Microsoft Office Suite and professional communication skills.

Responsibilities

  • Coordinate calendars, meetings, and executive commitments for the CEO Office.
  • Draft, proofread, format, and distribute emails, letters, and reports.
  • Prepare presentations and briefing materials using Microsoft Office.
  • Coordinate travel arrangements, itineraries, and expense submissions.
  • Take meeting notes and track decisions, action items, and owners.
  • Liaise with internal departments and external stakeholders to support priorities.
