The Opportunity :

The Executive Assistant (EA) to the Dean provides high-level, confidential administrative support to the Dean of the College of Community & Global Health (CCGH) and the Dean’s Office. As the primary point of contact, the EA ensures the smooth coordination of the Dean’s schedule, communications, meetings, and daily operations. This role is integral to supporting the strategic, operational, and collaborative functions of the College. It also involves project coordination and administrative support across a range of College priorities, requiring a strong understanding of University of Manitoba policies and procedures, and the ability to exercise sound judgment in a dynamic, fast-paced environment.

The ideal candidate demonstrates professionalism, diplomacy, and discretion in interactions with faculty, students, staff, public officials, and external partners. They possess excellent communication, organizational, and problem-solving skills, with a keen attention to detail and the ability to manage multiple priorities. Strong interpersonal skills grounded in cultural humility and a commitment to equity, diversity, inclusion, and accessibility (EDIA) are essential, along with alignment with the University’s commitment to the values of the Truth and Reconciliation Commission (TRC). The EA regularly liaises with internal and external stakeholders, provides guidance on policies and procedures, and independently manages correspondence and information requests. They also contribute to the development of administrative systems, support planning efforts, and may participate on committees or working groups.

The qualifications and experience we’re looking for :

  • Undergraduate degree in a relevant field and a minimum of 3 years of experience in a senior administrative or executive support role.
  • Proven experience supporting senior leadership in a complex organization, with a high degree of discretion, professionalism, and judgment.
  • Familiarity with university governance, administrative structures, and decision-making processes is an asset.
  • Experience preparing briefings, agendas, and official correspondence, with sensitivity to institutional tone and context.
  • An equivalent combination of education and experience will be considered.
  • Exceptional communication skills (verbal and written), with the ability to represent the Dean's Office in a professional and inclusive manner.
  • Strong organizational and project coordination skills, with the ability to prioritize tasks, manage competing deadlines, and anticipate needs.
  • Proficiency with administrative tools and enterprise systems (e.g., Microsoft Office, Adobe, VIP, Concur, EPIC); comfort adapting to new platforms.
  • Demonstrated ability to work independently while collaborating closely with others, including in sensitive or high-pressure situations.
  • High attention to detail, with sound judgment in managing confidential information and institutional workflows.
  • Strong interpersonal skills grounded in cultural humility and a commitment to equity, diversity, inclusion, and accessibility (EDIA).
  • Satisfactory work record, including satisfactory attendance and punctuality, is required.
  • A demonstrated commitment to EDIA principles and to ongoing professional learning is considered an asset.
