General Duties:

Under the direction of the Executive Director, the Executive Assistant primary responsibility is to provide support to the Executive Director with all administrative and clerical services to ensure effective and efficient operations.

  • Prepare correspondence, reports and other documents to staff, managers and Board Members
  • Maintain office files as directed
  • Provide support to the Board of Directors to ensure that the Board is provided with the resources to make effective decisions
  • Maintain confidential records and files, along with records of decisions
  • Arrange for payment of honorariums
  • Research and assist with the preparation of motions, policies and procedures
  • Review and edit reports to the Board
  • Schedule meetings, along with preparing agendas/packages for Board meetings and attendance at same
  • Record minutes and submit minutes for approval in a timely fashion
  • Follows up with Supervisors and staff to ensure timely submission of Agency employee documents (reports, stats etc)
  • Secures all hotels visits and medical travel for children in care.
  • Schedule any travel arrangements for The Executive Director. When requested by other management for other staff at the approval of the Executive Director
  • Travel will required to designated locations throughout the Province of Manitoba
Qualifications:
  • Completion of e recognized diploma or equivalent in administration or Business.
  • 3-4 years' experience in a senior administrative role
  • Preferred, two (2) years experience directly in the social services/child care profession.
  • Excellent interpersonal, verbal, written and organizational skills.
  • Demonstrated ability to work as part of a team.
  • Excellent verbal, written and organizational skills.
  • Strong problem solving, decision-making and interpersonal skills.
  • Ability to speak and/or understand the Ojibway language is considered a definite asset.
