Job summary

SOCAN is hiring an Executive Assistant to the CEO in Toronto, ON. You will support the CEO, CFO, and COO, manage complex calendars, and coordinate meetings to enable strategic leadership.

The role requires 5+ years of senior executive support, a BA or equivalent, and strong MS Office skills. This hybrid position offers a competitive pay range and comprehensive benefits.

About The Role

TThe Executive Assistant to the CEO provides support to SOCAN’s Chief Executive Officer (CEO), as well as the Chief Financial Officer (CFO) and Chief Operations Officer (COO) enabling them to focus on strategic leadership, industry relationships, and organizational outcomes. The Executive Assistant anticipates needs, manages complexity, and acts as a high-trust extension of the CEO, ensuring priorities are clear and commitments are tracked.

What You’ll Do / Key Responsibilities
Executive Enablement & Proactive Support
  • Proactively manage the CEO’s calendar, prioritize incoming emails calls and correspondence to optimize time
  • Anticipate deliverables, decisions, and risks
  • Track action items and follow up on commitments
  • Prepare executive and other CEO meeting agendas, briefing notes, and background materials, and coordinate meeting and stakeholder logistics
  • Provide similar support to the CFO and COO
Strategic Relationship & Communication Support
  • Serve as first point of contact and trusted gatekeeper
  • Coordinate with internal and external stakeholders
  • Support annual operations assistance funding cycle for external organizations and associations
  • Represent executive officers and SOCAN with professionalism and discretion
  • Assist with communications and special events and projects led by CEO, as needed
Operational, Governance & Administrative Excellence
  • Manage complex travel and logistics
  • Prepare and submit expense reportsMaintain organized records and correspondence
  • Maintain CISAC governance
  • Oversee the planning, coordination, and logistical execution of Annual General Meeting
  • Coordinate and oversee logistical execution of executive meetings
  • Support office operations and coordinate with the Manager, Workspace and
  • Executive Support and other Executive Assistants to ensure seamless coverage and backup support for other senior executives, as required
What You Will Bring / Qualifications & Experience
  • 5+ years supporting a CEO or senior executive
  • Bachelor’s degree or certification in Business Administration or related field, preferred
  • Ability to manage competing priorities and work under pressure
  • Proactive, resourceful, anticipatory working style
  • Exceptional organization, calendar management and follow-up skills
  • Strong written and verbal communication, judgment, decision making
  • Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint, Teams)
  • Innovative and technology curious
  • Bilingual, an asset
