The Client: A well-established wealth management firm seeks a highly organized, professional Executive Assistant to the President and CEO. In this remote role, you will be responsible for providing high-level administrative and executive support, ensuring the smooth operation of the firm's leadership and overall business.
Here is what the Executive Assistant to the President and CEO opportunity offers you:
Duties - As the Executive Assistant to the President and CEO, you will be responsible for:
Acting as a pivotal liaison to the executive office and proactively anticipate the President's needs Managing complex corporate and personal calendars and travel plans Prepare presentations and reports and handle confidential information Review, organize, and maintain the CEO’s inbox.Draft and manage professional communications.Proactively coordinate internal and external meetings, ensuring timely follow-up and follow-through.Coordinate with external service providers (legal, tax, insurance, etc.) to fulfill the CEO’s requests.Maintain accurate record of the CEO's book list and update personal development tracking in My90. Coordinate family holiday/travel planning with the CEO's spouseManage personal appointmentsMaintain the yearly personal event calendar for birthdays, anniversaries, and special occasions as well as important religious holidays (e.g., Ramadan, Eid, Umrah planning)Oversee coordination for quarterly in-person team meetingsCoordinate planning and purchases for staff birthdays and milestone celebrations. Organize and manage monthly coaching session logistics with external coach Maintain SOPs/checklists for repeat processes such as coaching sessions, invoice follow-ups, birthdays.Proactively improve systems and suggest tools (e.g., calendar automations, CRM tweaks, invoice reminders).
