Job summary

Canadian Forces Morale and Welfare Services (CFMWS) invites applications for an Executive Assistant to the Senior Vice‑President of Personnel Support Programs. The role provides comprehensive administrative support, manages busy calendars, coordinates travel and meetings, and handles confidential communications in a fast‑paced environment.

Qualifications

  • College diploma or certificate in Administration, Office Administration, Secretarial Science, or a related field AND some years of experience in office administration, or a related field
  • OR
  • High school diploma AND several years of experience in office administration, or a related field
  • Experience in office administration and project management
  • Experience in developing and implementing administrative and office procedures

Responsibilities

  • Manage busy calendars for the Senior Vice‑President of Personnel Support Programs
  • Coordinate travel arrangements and meetings; handle confidential correspondence and inquiries
  • Oversee acquisition of divisional supplies and services; organize conferences
  • Manage facility/office space and support services for the division
  • Collaborate with leadership and teams to ensure smooth administrative operations

THE ROLE

Are you ready to play a pivotal role in supporting senior leadership and providing high‑quality administrative support within Personnel Support Programs? The Executive Assistant provides comprehensive administrative support to the Senior Vice‑President of Personnel Support Programs, ensuring smooth administration for the division. This role is responsible for managing busy calendars, coordinating travel and meetings, and handling confidential correspondence and inquiries. The Executive Assistant also oversees the acquisition of divisional supplies and services and organizes conferences and managing facility/office space. This position requires exceptional organizational skills, attention to detail, and a collaborative approach in a dynamic, fast‑paced environment. The ideal candidate is passionate about supporting leadership, fostering positive relationships, and contributing to the overall success of the organization.

QUALIFICATIONS NEEDED
Education, Certifications and Licenses
  • College diploma or certificate in Administration, Office Administration, Secretarial Science, or a related field AND some years of experience in office administration, or a related field
  • OR
  • High school diploma AND several years of experience in office administration, or a related field
Experience
  • In office administration and project management
  • In developing and implementing administrative and office procedures
  • In applying policies and procedures
  • In budget administration
  • In records management
  • In maintaining filing systems
  • In drafting correspondence and reports
  • In making travel arrangements

OTHER INFORMATION

This is a hybrid position with an assigned work location allowing the employee to work partly from a corporate office and partly from a home office in accordance with the CFMWS Flexible Work Options Policy, and with approval from the direct manager.
