Job summary

Carefirst Family Health Team in Toronto seeks a full-time Executive Assistant to support Senior Management and a multidisciplinary team delivering community-based primary care. You will prepare executive documents, coordinate meetings, and maintain strong communications with internal and external stakeholders.

The role requires a Bachelor’s degree, excellent writing and interpersonal skills, and the ability to handle sensitive information with discretion in a fast-paced environment.

Qualifications

  • Bachelor degree in Business Administration or a related field.
  • Superior writing and communication skills.
  • Ability to maintain sensitive information with high ethics and confidentiality.
  • Ability to work independently and collaboratively within a fast-paced environment.
  • Fluent in English and a second language (e.g., Cantonese or Mandarin) is an asset.
  • Valid vulnerable sector police record check completed within one year.
  • Extended Health Care, HOOPP, Training and Education Subsidy.

Responsibilities

  • Prepare executive documents, Ministry reports and funding proposals in support of Senior Management.
  • Establish and maintain rapport with Board of Directors, its Committee and other organizations.
  • Assist in quality assurance activities, such as Accreditation and Quality Improvement Plan.
  • Assist in developing the FHT's programs and services in accordance with directions, strategies, policies and principles established by the Board of Directors and its Committee.
  • Coordinate meetings with internal and external stakeholders.
  • Create and develop administrative documents as required.

Salary Range: $48,000.00 To $60,000.00 Annually

The Carefirst Family Health Team (FHT) is seeking full-time permanent Executive Assistant to join our innovative, interdisciplinary team dedicated to delivering high-quality, community-based care.

About Us

Carefirst FHT is committed to delivering exceptional, comprehensive primary care through a collaborative, team-based model that includes family physicians, nurse practitioners, nurses, social workers, service navigators, dieticians, physiotherapists, and medical receptionists. We have a robust Chronic Disease Management and Prevention program, including a Diabetes Education Program, and are actively involved in many of the Ontario Health Team’s primary care initiatives.

Our “Hub & Spoke Model” and strong community partnerships ensure coordinated, high-quality, patient ‑ centred care across the continuum. We work closely with Carefirst Seniors & Community Services Association to provide truly integrated services.

  • MINT Memory Clinic
  • Ontario Structured Psychotherapy (OSP) Program
  • Specialist Clinics: psychiatry, cardiology, endocrinology, optometry, geriatric medicine, gynecology, chiropody, rheumatology, physiotherapy, and audiology

Clinic Locations

We currently operate five well-established clinics across Scarborough, Markham, Richmond Hill, and Stouffville and continue to expand in Markham to support continued growth and community needs.

Current clinic locations:

  • 300 Silver Star Blvd, Scarborough (Midland / McNicoll)
  • 360 Highway 7 East, Richmond Hill (Highway 7 / Chalmers Rd)

Upcoming new clinic locations:

Employees will be assigned to a location that aligns with the operation needs , with occasional rotation to support clinic operations.

We are currently seeking a Executive Assistant to fill a new position at our Family Health Team.

Terms: Full Time Permanent

Pay range: $48,000 - $60,000 annually

Responsibilities:
