Job summary

Redbrick in Victoria, BC, is seeking an Executive Assistant to support senior leaders, coordinate travel, manage calendars, and create polished materials that reflect our brand. This in-office role emphasizes ownership, discretion, and proactive problem-solving in a fast-paced environment.

You'll work closely with the Chief Marketing Officer and Chief of Staff, coordinating internal and external meetings, handling confidential information, and contributing to marketing and podcast initiatives as

Qualifications

  • Experience coordinating people, projects, schedules, or operations—even if your job title wasn't Executive Assistant.
  • Exceptional organization with the ability to juggle multiple priorities and switch between tasks.
  • Proactive mindset and ownership without waiting to be asked.
  • Strong judgment to know when to act independently or seek guidance.
  • Excellent written and verbal communication skills.
  • Comfortable learning new technology and modern workplace tools.
  • Strong attention to detail and follow-through.
  • Collaborative, low-ego approach across teams.
  • Discretion when handling confidential information.
  • Experience with Canva, Google Slides, PowerPoint, Figma is an asset.
  • Experience coordinating projects, marketing initiatives, events, or creative work is a plus.
  • Interest in sustainability, ESG, or social impact is a plus.
  • Valid driver's license and access to a vehicle for local errands.

Responsibilities

  • Provide day-to-day support to senior leaders, helping them stay organized, focused, and prepared.
  • Manage busy calendars, schedule meetings, coordinate travel, and handle changing priorities with confidence.
  • Monitor inboxes, Slack, and other channels to identify and action urgent requests.
  • Coordinate meetings with internal and external stakeholders, prepare agendas, ensure leaders have what they need.
  • Plan domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Process expense reports and help keep administrative processes running smoothly.
  • Create polished presentations and documents reflecting Redbrick's brand and professionalism.
  • Support creative and marketing by coordinating projects, managing timelines, gathering assets.
  • Assist with podcast logistics, including guest coordination and production timelines.
  • Build strong relationships across the business as a trusted partner to executives.
  • Attend meetings, capture action items, ensure commitments are followed up.
  • Handle confidential information with professionalism and discretion.
  • Assist with office events and personal assistant tasks as needed to move the team forward.
  • Continuously look for ways to improve processes and efficiency.

Job description

At Redbrick, our Executive Operations team exists to create time, remove friction, and keep our leaders focused on what matters most: building exceptional companies. Sometimes that means coordinating a complex international trip. Sometimes it means creating a polished presentation for the Chief Marketing Officer. Other times, it means picking up lunch before a busy afternoon of meetings. We don't see those as different kinds of work—they're all part of helping our leaders operate at their best.

We're looking for an Executive Assistant who thrives in a role where no two days are the same. Someone who enjoys bringing order to chaos, anticipates needs before they're asked, and gets genuine satisfaction from helping others succeed.

You don't necessarily need to have been an Executive Assistant before. Maybe you've coordinated large events, managed hospitality operations, supported leaders in another industry, worked in customer-facing operations, or simply become the person everyone relies on to keep things running smoothly. If you're exceptionally organized, adaptable, and love solving problems, we'd love to hear from you.

This is a full-time, in-office role based in Victoria, BC, reporting to our Executive Operations Manager. You'll primarily support our Chief Marketing Officer and Chief of Staff while working alongside a collaborative Executive Operations team that's known for jumping in, helping each other out, and doing whatever it takes to move the business forward.

What you'll be doing
  • Provide day-to-day support to senior leaders, helping them stay organized, focused, and prepared.

  • Coordinate meetings with internal and external stakeholders, prepare agendas, and ensure leaders have everything they need.
  • Plan domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Process expense reports and help keep administrative processes running smoothly.
  • Create polished presentations, documents, and other materials that reflect Redbrick's brand and professionalism.
  • Support creative and marketing initiatives by coordinating projects, managing timelines, gathering assets, and helping move work forward.
  • Assist with podcast logistics, including guest coordination, scheduling, briefing materials, production timelines, and promotional support.
  • Build strong relationships across the business, acting as a trusted partner to executives and the Executive Operations team.
  • Attend meetings, capture action items, and help ensure commitments don't fall through the cracks.
  • Handle confidential information with professionalism and discretion.
  • Pitch in wherever needed—from coordinating an office event to running an errand or helping with occasional personal assistant tasks. No task is too big or too small when it helps the team succeed.
  • Continuously look for ways to improve processes, solve problems, and make things run more efficiently.
