Job summary

Talent Harbour, a boutique, purpose-driven Family Office Investment & Acquisitions firm, seeks an Executive Assistant to support the CEO and help drive growth across acquisitions, AI initiatives, social media, marketing, events, and office operations from their Burnaby base.

The role requires proactive organization, excellent communication, discretion with confidential information, and comfort wearing many hats as priorities evolve with the CEO's businesses, including collaboration with the COO

Qualifications

  • Proven experience in executive assistance, operations, or social media/marketing.
  • Outstanding organizational skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication with proofreading/editing abilities.
  • Attention to detail and discretion handling confidential information.
  • Experience with AI tools and modern business software.

Responsibilities

  • Manage the CEO's calendar, communications, travel, and day-to-day priorities.
  • Collaborate with the COO and CEO's partner to ensure smooth operations.
  • Support acquisitions research, due diligence, and administrative coordination.
  • Grow social media presence and craft engaging content using AI tools.
  • Organize events, meetings, and presentations; assist budgeting and reports.
  • Oversee office administration and vendor relationships.
  • Take ownership of special projects as priorities evolve.

Role Overview

They are seeking a proactive, resourceful, and adaptable Executive Assistant to support the CEO, collaborate with the team, and help drive growth. This high-responsibility role requires managing schedules, communications, projects, and priorities across diverse areas, including acquisitions, AI, social media, marketing, event coordination, and office operations. The successful candidate will wear many hats, embrace new technologies, and thrive in a fast-paced entrepreneurial environment where priorities evolve alongside the CEO's businesses.

Key Responsibilities
  • Manage the CEO's calendar, communications, travel, and day-to-day priorities.
  • Collaborate closely with the CEO's wife and the COO to ensure smooth and efficient operations.
  • Support acquisitions through research, due diligence, and administrative coordination.
  • Manage and grow the company's social media presence, including planning, proofreading, editing, and developing engaging content using company knowledge, AI tools, and effective marketing strategies.
  • Embrace AI tools such as ChatGPT, Claude, and other emerging technologies to improve productivity, research, content creation, communication, and business operations.
  • Oversee office administration and vendor relationships.
  • Organize company events, team meetings, and presentations.
  • Conduct research, prepare reports, presentations, correspondence, and assist with budgeting.
  • Take ownership of special projects and adapt to new responsibilities as the CEO's needs and business priorities evolve.
Ideal Candidate
  • Proven experience in executive assistance, business operations, project management, or social media/marketing.
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, with strong proofreading, editing, and content development abilities.
  • Strong Attention to Detail.
  • Experience managing social media platforms and creating engaging, professional content.
  • Enthusiastic about leveraging AI tools such as ChatGPT, Claude, and other emerging technologies to improve productivity, research, communication, and content creation.
  • Tech-savvy, with proficiency in Microsoft Office, HubSpot, and other modern business tools.
  • Proactive, resourceful, adaptable, and able to anticipate needs before they arise.
  • Exercises sound judgment and handles confidential information with the highest level of discretion.
  • Alignment with Christian values, as they support faith-based initiatives and organizations.
What They Offer
  • Competitive base salary $65,000 - $85,000 CAD based on experience, plus a performance-based bonus
  • Total compensation potential of $100,000+ CAD
