Job summary

Michael Green Architecture (MGA) in Vancouver, BC, seeks an experienced Executive Assistant to support the Founding Principal. You’ll manage calendars, travel, briefs, and governance records, coordinating with senior leadership to keep priorities moving forward.

This role partners with finance, business development, and the Studio Coordinator, handling proposals, contracts, and confidential materials with discretion in a fast-paced, global design practice.

Qualifications

  • 5+ years of progressive experience supporting a senior executive
  • Experience within architecture, design, engineering, consulting, or another professional services environment is preferred
  • Demonstrated success managing complex calendars, executive travel, confidential correspondence, and shifting priorities
  • Strong business writing, editing, research, and document-preparation skills
  • Exceptional discretion, sound judgment, organization, and follow-through
  • The confidence to manage upward, clarify priorities, and protect an executive’s time
  • Advanced proficiency with Microsoft 365 and experience with CRM, project-management, or professional-services systems
  • Experience with CMAP or a similar project-management system is an asset

Responsibilities

  • Manage and strategically prioritize the Founding Principal’s complex calendar, inbox, meetings, and commitments
  • Coordinate frequent business travel, weekly regional travel, client visits, conferences, lectures, and speaking engagements
  • Prepare briefing notes, meeting materials, presentations, background research, and detailed itineraries
  • Coordinate senior leadership meetings, confidential governance records, and action-item follow-up
  • Support the Founding Principal’s business development activities through contact research, CMAP updates, meeting preparation, and relationship follow-up
  • Coordinate the Founding Principal’s contribution, review, and approval for proposals, fee letters, contracts, and other business documents
  • Manage expense reporting, billable time coordination, professional requirements, and secure access to business platforms
  • Bring clarity, discretion, and consistent follow-through to a varied and fast-moving portfolio

On behalf of our client, Michael Green Architecture (MGA), we are seeking an experienced Executive Assistant to provide senior-level support to the Founding Principal of one of the world’s leading sustainable design firms in Vancouver, BC.

As Executive Assistant, you’ll become a trusted partner to MGA’s Founding Principal, helping manage a complex calendar and inbox, coordinate frequent business travel and speaking engagements, prepare briefings, track commitments, and keep leadership priorities moving forward.

You’ll work closely with senior leadership, finance, business development, and the Studio Coordinator, ensuring the Founding Principal is prepared, important relationships are thoughtfully supported, and decisions do not get lost in the pace of a busy international design practice.

What You’ll Do
