About This Role

Are you a detail-oriented professional who thrives in a fast-paced executive environment? Taggart Group of Companies is seeking a highly motivated and organized individual for a newly established Executive Assistant role supporting our CFO, Senior Finance Team, and Executive Leadership. This is a critical role, requiring a candidate who has the ability to anticipate needs, manage priorities, and provide connective administrative and operational support. Reporting to the CFO, you will serve as the liaison between the senior finance team, internal departments, and external stakeholders to ensure seamless daily operations.

You will have the ability to exercise good judgment in a diversity of situations, and possess communication, organization, and project management skills to support the improvement and development of departmental objectives.

You will have an inclination for structure and consistency in the day to day and be an agile decision-maker taking initiative to prioritize and respond to the needs of the business.

What You’ll Do

  • Provide executive-level administrative support to the CFO, Senior Finance Team.
  • Provide key support for the CEO and COO, including drafting communications, managing high-level operational calendars, and facilitating group-wide meetings.
  • Lead company vehicle insurance portfolio tracking, manage donations tracking, financial reporting, and banking documentation.
  • Manage calendars, schedule and coordinate meetings, and ensure optimal use of executive time.
  • Lead tasks related to risk management, corporate insurance compliance, and financial documentation, under the direction of the CFO.
  • Oversee execution of compliance tasks for external vendors and regulatory requirements.
  • Organize and oversee the annual corporate management meeting calendar.
  • Maintain meticulous record-keeping and document management to ensure compliance with industry standards.

What You’ll Bring

  • 5+ years of experience supporting C-level executives or senior leadership teams in a fast-paced corporate environment.
  • Bachelor’s degree completion (Business Administration or Finance preferred).
  • An innate business sense and a desire to engage in the diverse areas of our Group Operations.
  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and familiarity with financial systems and SharePoint.
  • Experience managing confidential information with discretion and professionalism.
  • Experience with financial statements, budgets, compliance documentation, risk management, and insurance-related tasks is an asset.

Physical/Sensory Effort and Work Environment

  • You provide service to multiple teams, departments, and companies while managing competing deadlines.
  • You may be required to work overtime based on business needs.
