About the workplace

As an Executive Assistant (EA) supporting two Vice Presidents within our Information Technology (IT) portfolio, you’ll play a critical role in enabling efficient decision-making and execution across digital initiatives that directly support our members and staff. You’re a highly organized and proactive professional who thrives in a fast-paced, tech-driven environment, and you understand how to navigate the dynamic needs of senior technology leaders.

This is a permanent, full-time role that will enjoy hybrid working arrangements which can be fulfilled primarily from the Vancity head office location and your Lower Mainland based home office. Note that this role will involve supporting VPs based in the east coast. This role may require you to work in office 1-3 days a week, depending on business needs.

A typical day would involve:

  • Provide day-to-day administrative and operational support to two IT Vice Presidents, with a focus on enabling their time and priorities to be optimized for strategic impact.
  • Manage complex and evolving calendars, coordinate high-volume meeting schedules, and support the efficient exchange of information.
  • Prepare and organize materials for meetings such as agendas, presentations, reports, and minutes, often with technical or project-specific content.
  • Track and support the execution of technology and transformation priorities, including following up on assigned tasks, deliverables, and reporting.
  • Manage sensitive correspondence and communication, often acting as a liaison between the VPs, internal teams, and external partners.
  • Support budget tracking, invoice processing, expense reports, and travel logistics, ensuring accuracy and timeliness.
  • Continuously improve and document administrative processes, tools, and workflows that support efficiency in the technology leadership team.
  • Collaborate closely with other Executive Assistants and stakeholders across IT and the broader organization to ensure seamless coordination.

You have:

  • 2+ years of experience in a senior administrative, project coordination, or executive assistant role.
  • Experience supporting technology or digital transformation leaders is a bonus.
  • An interest in technology trends, an openness to learning new tools and adapting how you work.
  • Proven ability to communicate effectively with senior leaders and cross-functional teams, including comfort handling confidential information.
  • Strong organizational and time management skills with the ability to prioritize and multitask under tight deadlines.
  • Intermediate to advanced knowledge and application of Microsoft Office suite products
  • A proactive mindset that seeks out opportunities for efficiency and impact, often anticipating needs before they arise.

The salary range for this role is $49,700 to $74,500 annually. Base pay offered may vary depending on factors such as relevant qualifications, skills, previous experience, and internal equity. As part of our total rewards package, employees may also be eligible for our annual incentive program, subject to program eligibility requirements.
