Job summary

CDN in Calgary is seeking an experienced Executive Assistant to support C-suite leaders from our downtown office. This newly created role ensures efficient operations and seamless coordination across the executive team and Board.

You will manage calendars, coordinate travel, prepare meetings and minutes, and help shape the administrative function with discretion and strategic thinking. The ideal candidate has senior‑level experience in industrial services or related sectors.

Qualifications

  • Related university degree, college diploma, and/or trade certification with 7+ years of related experience.
  • Experience in industrial services, construction, energy, or similar sectors is an asset.
  • Experience supporting multiple executives in a dynamic environment.
  • Exceptional organizational, time-management, and multitasking abilities in a fast-paced setting.
  • Strong written and verbal communication with polished executive-ready documents.
  • Advanced skills in scheduling and executive/board communications.
  • High discretion and professionalism with confidential information.

Responsibilities

  • Manage evolving executive priorities and enable leaders to focus on strategic initiatives.
  • Ensure efficient daily operations for the executive team through scheduling and task management.
  • Anticipate needs, resolve administrative challenges, and streamline processes.
  • Coordinate executive communications, including email management and message tracking.
  • Prepare and support board and quarterly meetings, leadership sessions, and events.
  • Prepare meeting agendas, take minutes, and maintain secure records of documents.
  • Conduct research and prepare presentations to support executives as needed.
  • Build strong relationships with internal departments and external partners.
  • Monitor deadlines and deliverables to ensure timely action on executive requests.

CDN is a recognized industry leader in the energy services sector. CDN is a full-service provider with expertise in Electrical & Instrumentation maintenance, renewables/solar, major projects, combustion & emissions reduction, and measurement.

We are seeking an Executive Assistant to join our team based out of our downtown Calgary office. This newly created role will provide senior level administrative and organisational support to C‑suite leaders at CDN, ensuring efficient operations and seamless coordination across the executive team and with the Board of Directors. This role requires a high degree of adaptability and strategic thinking to help shape and define the future vision of the administrative function.

Responsibilities
  • Demonstrate adaptability and agility in managing evolving executive priorities while enabling senior leaders to remain focused on strategic initiatives and organizational performance.
  • Ensure efficient daily operations for executive team through proactive scheduling, prioritization, and task management.
  • Anticipate needs, resolve administrative challenges, and streamline processes to enhance executive productivity.
  • Coordinate executive communications, including email management, message tracking, and timely responses.
  • Support the preparation and execution of board and quarterly business meetings, leadership sessions, and corporate events including travel, venue booking and catering.
  • Prepare meeting agendas, accurately record minutes, maintain secure and organized records of corporate documents.
  • Conduct research, compile data, and prepare presentations for consideration to support executives as needed.
  • Build and maintain strong working relationships with internal departments, clients, and external partners on behalf of the executive team.
  • Monitor deadlines, commitments, and deliverables to ensure timely completion of executive actions.
  • Uphold confidentiality, professionalism, and accuracy in all administrative activities.
  • May provide mentorship and guidance to more junior co-workers.
Job Requirements
  • Related University degree, college diploma, and/or trade certification and typically 7 or more years of related experience; or combination of formal education and experience.
  • Experience in industrial services, construction, energy, or similar sectors is an asset.
  • Experience supporting multiple executives simultaneously in a dynamic, growth‑oriented environment.
  • Exceptional organizational, time‑management, and multitasking abilities in a fast‑paced environment.
  • Strong written and verbal communication skills with the ability to prepare polished, executive‑ready documents.
  • Advanced skills in document preparation, scheduling, and executive and/or board communication.
  • High level of discretion, integrity, and professionalism when handling confidential information.
  • Proactive problem‑solver with strong judgment and the ability to anticipate needs.
  • Ability to build strong working relationships and interact effectively with stakeholders at all levels.
  • Demonstrated ability to manage competing priorities and adapt to shifting demands.
  • Advanced proficiency in Microsoft Office applications and comfort with digital collaboration tools.

Candidates with proven senior level administrative experience, supporting a diverse group of executives will be considered for an interview.
