Are you a detail-driven professional who thrives in a fast-paced, ever-evolving environment?
Len T. Wong & Associates —one of Calgary’s most successful real estate teams—is looking for a proactive and highly organized Executive Assistant to support our Associate Broker. This role is essential in keeping a fast-moving real estate business running smoothly behind the scenes and polished in front of clients.
You’ll be the “left arm” of a high-performing agent—anticipating needs, managing day-to-day operations, and bringing structure to a dynamic and client-first business.
What You’ll DoExecutive & Administrative Support
- Own the calendar, email communications, and scheduling—keeping the Associate Broker on time and prepared.
- Create and prepare key documents like CMAs, offers, and listing contracts.
- Oversee transaction scheduling: showings, inspections, and service appointments.
- Manage tasks and priorities—delegating where needed and following up to completion.
Operations & Client Coordination
- Maintain accurate records in CRM and platforms like Follow Up Boss, Pillar9, ShowingTime, and Transaction Desk.
- Coordinate marketing assets and service providers: photographers, stagers, vendors.
- Liaise with clients, lawyers, mortgage brokers, and industry partners to ensure a seamless experience.
Office Presence & Event Support
- Greet clients and visitors with warmth and professionalism.
- Support event planning and execution for client appreciation and community outreach.
- Answer phones, direct inquiries, and help maintain an organized, professional office environment.
What You Bring- Minimum 1 year of real estate industry experience (as an agent or administrative support).

- Deep familiarity with Calgary real estate systems (MLS, CREB, real estate contracts).
- Confidence navigating tech tools like Google Workspace, CRM platforms, and transaction software.
- A calm, solutions-oriented mindset under pressure.
- High attention to detail and a knack for organization.
- Excellent communication skills—both written and verbal.
- Genuine desire to help people and create polished, professional experiences.
