Location: Calgary, Canada

Shell Canada is seeking an Executive Assistant to support the Shell Canada Country Chair and the VP of Integrated Gas. The role involves acting as a key point of contact between Shell Canada and senior stakeholders, supporting executive functions, and facilitating communication across the organization.

Accountabilities
  1. Serve as the point of contact for senior external stakeholders, including government officials, C-suite leaders, and partners.
  2. Provide administrative support for activities and events, including meetings, visits, and workshops.
  3. Manage payment and compliance reporting, including gifts & hospitality registers.
  4. Coordinate briefing papers for meetings and travel.
  5. Handle communications on behalf of the VP and Country Chair.
  6. Support Crisis Management and Business Continuity activities.
  7. Perform general administrative duties: calendar management, scheduling, minute-taking, managing mail, and workflow.
  8. Arrange travel and expense reports via Concur.
  9. Coordinate IT equipment and logistics.
  10. Assist with administrative matters like maintaining lists, SharePoint, filing, and onboarding.
  11. Collaborate with other administrative professionals.
Qualifications
  • Legal authorization to work in Canada full-time.
  • Diploma or Degree preferred but not required.
  • Minimum 5 years relevant experience.
  • Strong communication and relationship-building skills with internal and external stakeholders.
  • High integrity and discretion handling sensitive information.
  • Resourcefulness and ability to handle unforeseen issues efficiently.
  • Ability to work under pressure, meet deadlines, and adapt to changing priorities.
  • Flexibility to work extended hours when needed.
  • Excellent planning, organizational, and time management skills.
  • Proficiency in MS Office, SharePoint, Concur, MS Teams, and Viva Engage.
