Job summary

Altis Technology in Vancouver, BC, is seeking an experienced administrative professional to provide short-term coverage for a project-focused public sector organization. You will be a key in-person resource for the team, supporting an Executive Project Director and ensuring day-to-day administrative needs run smoothly.

This role is part-time, three eight-hour days per week (typically Tuesday, Wednesday and Thursday with some flexibility).

Qualifications

  • 3+ years of administrative or executive support experience in fast-paced/project environment.
  • Strong calendar management with proactive prioritization.
  • Proficiency with MS Outlook, Word, Excel, PowerPoint and Teams.
  • Excellent organization, attention to detail and ability to meet deadlines.
  • Confident decision-making and ability to work independently.
  • Collaborative communication and support for senior leaders.
  • Office administration education is an asset.

Responsibilities

  • Manage the Executive Project Director's calendar, prioritizing and adjusting meetings as needs change.
  • Coordinate meetings and support shared calendars, ensuring scheduling and logistics stay organized.
  • Provide an in-person point of contact for visitors and day-to-day office access needs.
  • Coordinate office supply orders and support other administrative tasks.
  • Use Microsoft Teams to support approvals, project trackers and team coordination.
  • Identify urgent requests, exercise sound judgment and connect team members with the right support.

Youll be a key in-person resource for the team, primarily supporting an Executive Project Director while helping ensure day-to-day administrative and office needs continue to run smoothly.

  • Excellent organization, attention to detail and ability to meet deadlines.
  • Confident decision-making skills and the ability to work independently when needed.
  • Personable, collaborative communication skills and comfort supporting senior leaders.
  • Office administration education is an asset.
