Reports To: Assistant Manager, Programming & Events
Job Type: Contract
Term of Office: Start date: July 7, 2025
Pay Rate: $20.42/hourly, bi-weekly
Hours: 35 hours per week (some evenings and weekends will be required)
ORGANIZATIONAL STRUCTURE
Founded in 1975, the Sheridan Student Union represents all fee-paying students at Sheridan College. The Mission of the SSU is creating an exceptional student experience through student focused programs, services, and advocacy. All employees of the Corporation fundamentally serve the students of Sheridan College.
SCOPE AND NATURE
In carrying out the duties of this position, a great deal of responsibility is exercised with the final overview by the Assistant Manager, Programming & Events. It is also important that the Events Team Supervisor works closely with the Assistant Manager to ensure that they are up to date on the basic overall operations of SSU’s student events and activities. In all activities, it is crucial that the Events Team Supervisor recognizes that service to students is a top priority.
SPECIFIC RESPONSIBILITIES
-Assist in the planning, implementation, and execution of programming and events at all Sheridan campuses, including all student life programming, SSU Catering events, and other external opportunities that arise
-Support creation of event plans and event layouts for each event as well as Eventbrite pages for Programming department events and external/club requests
-Assist in purchasing and acquiring supplies and prizes for activities and events, working within a given budget and submitting proper purchase request forms and receipts
-Work alongside campus teams, holding regular meetings, scheduling staff for shifts, and creating regular communications specifying event instructions and other necessary details
-Collect feedback pre- and post-events, manage feedback emails and construct a monthly engagement draft based on feedback analysis
-Propose new ideas to improve the event planning and implementation process through Event Debrief forms
-Execute events at maximum potential and meet event goals/targets in line with the current needs of students, including hosting duties
-Support on-site production, setup, and clean-up for events, coordinate with external and internal vendors on collaborative projects
-Manage inventory of event materials and organize on-site storage spaces
-Operate in accordance with the Vision, Values and Mission, as well as the by-laws and policies of the SSU long-term strategic plan
-Act as venue operation lead, understanding how each venue’s facility functions with sound and production and provide strong customer service skills for all potential stakeholders using the venue.
-Assist in developing and implementing training and onboarding practices for incoming and returning staff, including creating a continuity package that highlights the year of events proposals/advance dockets, events, post-evaluation forms, and event budget requests, and any other training materials that would be helpful
-Assist in the creation of an “event toolbox” for each campus, containing all essentials for every standard event hosted throughout the year
-Other duties as assigned by the Director and Assistant Manager, Programming & Events
-Assist in the successful implementation and execution of risk management strategies
QUALIFICATIONS
-Passion for creating student life programming, an eagerness to learn, and a proactive attitude, developing on an existing skillset and expanding their knowledge and understanding of the world of student life programming
-Understand what the student community wants to experience, advocate for it, and apply that knowledge to programming brainstorming sessions
-Demonstrate strong leadership and interpersonal skills leading a group of event assistants throughout the event calendar year
-Strong organizational and problem-solving skills and attention to detail with the ability to prioritize and work effectively, both independently and within a team
-Flexible hours required as there will be some shifts in evenings and on weekends
-Having a car is an asset
