Job description

The salary range for this position is $60,000 to $70,000. Final compensation will be determined based on relevant skills, experience, qualifications, and internal equity. In addition to base salary, eligible employees may be entitled to other elements of total compensation, which may include group benefits, employer RRSP contributions, & discretionary bonus or incentive programs, where applicable to the role. The Events & Catering Specialist (ECS) for Premium Dining at CIBC will manage event inquiries, lead the planning of private dining room bookings, and organize small-scale events on the Premium Dining floor. The role demands meticulous attention to detail and a commitment to excellence in service delivery, ensuring seamless and memorable guest experiences.

  • Efficiently manage the event inquiry dashboard, promptly handling incoming events in private dining rooms, chef table bookings, and small events in the main event space. Detail all events accurately, managing food, beverage, and logistics requirements.
  • Ensure a smooth experience for all events.
  • Coordinate event delivery, directing teams and vendors to complete event agendas and respond to last-minute adjustments. Responsible for coordinating onsite meetings and receptions, advising on space booking, detailing event agendas, communicating with vendors, and managing food and beverage services.
  • Collaborate with the CIBC Corporate Events team to coordinate hospitality experiences, support amenity and usage monitoring, and make recommendations for improvements.
  • Onsite coordination of food and beverage programs, working closely with the culinary team and stakeholders, processing invoices, and recommending service improvements.
  • Conduct weekly meetings with the Premium Dining Operations and Culinary team to review upcoming events.
  • Assist employees with temporary access pass requests, room bookings, and coordinate last-minute onsite arrangements.
  • Coordinate administrative tasks, including credit card reconciliations, purchase orders, approvals, chargebacks, and ensure financial processing is completed. Support site inventory management, maintaining organization, and operational resource systems, and participate in verification processes. Coordinate site equipment plans, logs, and maintenance.
  • Commit to continuous improvement, aiming to streamline processes and deliver quality results.
  • Other duties as assigned by the Director, Events & Catering.

  • A passion for corporate events and hospitality services, with a proven track record of managing events in various venues and virtual platforms, working closely with production, technical, and multimedia teams.
  • 3+ years of customer service experience in hospitality environments, contributing to event and meeting operations.
  • Exceptional attention to detail, with a strong ability to create and maintain administrative and operational systems accurately.
  • Ability to thrive in fast-paced, deadline-driven, and high-volume environments, demonstrating initiative and confidence as a self-starter.
  • Proficiency in Excel, Word, Outlook, and other MS Office Suite programs, with the ability to learn various databases/CRM systems and web/virtual event platforms.
  • Experience tracking expenses and reconciling receipts.
  • Ability to lift up to 50 lbs. and perform equipment setup and teardown duties.
  • Key hospitality industry certifications such as SmartServe, Food Handling Certification, and familiarity with hotel/food/beverage industry best practices. First Aid: CPR-C or willingness to obtain certifications.
  • Willingness to work flexible hours, including early mornings or evenings to accommodate events.
