Goal of the Event Services Manager: To provide comprehensive administrative support to the Sales Team with a focus on actualizing the contracts in day-to-day operations. Event Services Manager are an integral part of the hotel's overall Food and Beverage team as well as the Sales team. The Event Services Manager will play a crucial role in ensuring smooth coordination, efficient communication, and effective sales support within the hotel for the guests. They will be working closely with the Rooms, Housekeeping, Food and Beverage and other revenue-generating departments to maximize sales through the activities of the Sales Department and other employees. This also includes working and communicating closely with all hotel departments and to ensure a successful and effective event resulting in a positive guest experience.
The Event Services Manager is responsible for selling and servicing events. Primary sales efforts are in Banquet Food and Beverage and includes menu planning, agenda setting and hotel meeting services. The Event Services Manager duties include contract revision with exceptional attention to detail, fine line-by-line accuracy when revising requested services, concentrated planning on how best to upsell banquet options and effectively communicate with all other departments in the Hotel.
This role specifically requires long periods of sitting, and concentration, data manipulation, ability to analyze opportunities within a very short time frame. Multi-tasking while responding to all inquiries within a 30 minute window of time is required. The Event Services Manager will also be facilitating communication before, during and post event with pertinent hotel staff to ensure a high level of service. Continuous follow up with the banquet staff from the previous day’s events before the daily morning Sales department meeting has to be completed to ensure that the department has all consumable items accounted for and billed correctly to the client.
The Event Services Manager is expected to host hotel tours, walking the entire hotel facility with the client to ensure client understands the meeting flow and may speak about real situations on the event floor, while taking multiple notes. The manager is expected to meet with the clients before their events as they act as the sole point of contact. This would require flexibility in their schedule to work evenings and weekends to welcome the clients and go over the event order before the event begins. The manager is expected to maintain correct billing information and update it as necessary as well as provide the client with the most accurate final billing for their event. The Manager is expected to maintain strong customer relationships, participate and may host event meetings and other staff meetings, and work as a team member with the sales and events staff. It is expected that information is checked for accuracy before submitting to the right department to avoid financial losses as well as responding to all departments’ queries in a short period of time for a successful event. The manager also works closely with other departments and support staff.
