EVENT PLANNER

About Us

For four decades, the Assaulted Women’s Helpline (AWHL) has been a beacon of hope for women and gender-diverse individuals fleeing violence. Through our 24/7 crisis support, trauma-informed counseling, and advocacy programs, we support survivors to reclaim their lives. As we prepare to mark our 40th anniversary in 2025, we aim to amplify our legacy with transformative events and fundraising campaigns that honor our past, celebrate progress, and mobilize resources for a future free from gender-based violence.

The Opportunity

This role is more than event planning—it’s about creating spaces where survivors’ resilience is honored, and donors become champions for change. As our Event Planner, you’ll spearhead high-impact initiatives that elevate AWHL’s visibility, deepen engagement, and secure sustainable funding. You’ll collaborate with a dedicated team to design experiences that reflect our values of equity, inclusivity, and survivor-centered advocacy.

Key Responsibilities

  1. 40th Anniversary Celebrations
  • Strategic Vision: Design anniversary event that highlights AWHL’s history and future goals. Incorporate survivor voices into event narratives through partnerships with advocacy groups.
  • Logistics Leadership: Manage end-to-end execution, including venue selection (ensuring ADA compliance), vendor contracts, catering, AV setups, and contingency plans for virtual/hybrid components.
  • Inclusivity Focus: Implement accessibility measures (e.g., sign language interpreters, trauma-informed spaces) to ensure events welcome diverse audiences, including Indigenous communities, LGBTQ+ individuals, and newcomers.

2. Community Engagement & Partnerships

  • Collaborative Outreach: Forge partnerships with local businesses, universities, and cultural organizations to co-host events (e.g., charity runs, awareness workshops).
  • Sponsorship Cultivation: Build a pipeline of corporate and individual donors by creating tiered sponsorship packages ($5k–$50k+) with tailored benefits (e.g., branding opportunities, VIP experiences).
  • Donor Stewardship: Design post-event engagement strategies (e.g., impact reports, thank-you events) to nurture long-term relationships with contributors and recognition initiatives (e.g., annual appreciation awards).

3. Evaluation & Impact Reporting

  • Metrics Framework: Track KPIs such as attendance rates, funds raised, sponsor retention, and social media engagement. Use tools like Salesforce for data analysis.
  • Stakeholder Reports: Prepare quarterly summaries and a comprehensive anniversary impact report for the board, highlighting ROI, participant feedback, and lessons learned.
  • Budget Design: Manage event budget, negotiating cost-saving opportunities (e.g., in-kind donations, pro bono services).
  • Fiscal Accountability: Provide monthly financial updates to the Executive Director, including expense breakdowns and revenue forecasts.

Qualifications

Required

  • Bachelor’s degree in Event Management, Nonprofit Administration, Marketing, or related field.
  • 3–5+ years of experience planning medium-scale events (200+ attendees) and managing fundraising campaigns in nonprofit/social justice sectors.
  • Expertise in event tools: Cvent, Eventbrite, Canva, or Asana. Proficiency in Microsoft 365 and donor management software.
  • Exceptional project management skills with a track record of meeting deadlines in fast-paced environments.
  • Outstanding interpersonal skills: Ability to build rapport with diverse stakeholders, including survivors, corporate leaders, and volunteers.
  • Deep commitment to anti-oppression, gender equity, and trauma-informed practices.

Preferred

  • Certification in CFRE, PMP, or Nonprofit Management.
  • Experience working with survivors of gender-based violence or marginalized communities.
  • Your approach to designing inclusive, events.
  • A past campaign that demonstrates your ability to exceed fundraising goals.
  • Portfolio (PDF or link) with 2–3 event examples (e.g., timelines, budgets, promotional materials).
