Job summary

The Toronto Police Service is seeking an Employee Services Representative to deliver payroll, benefits and HR support to both Uniform and Civilian members. You will handle inquiries via phone, email and other channels, ensuring timely resolution and adherence to policies.

Responsibilities include data entry, record maintenance, routine reporting, and proactive follow-up on paperwork to support the Employee Services Centre and maintain a positive member experience.

Qualifications

  • Minimum 2 years in human resources with experience supporting benefits and payroll.
  • Experience in a multi-union payroll environment preferred.
  • Experience in municipal/public sector a plus.

What can I expect to do in this role?

In this role, you will provide first point of contact support to Uniform and Civilian members of the Service for inquiries within the scope of payroll, benefits and human resources through written and verbal communication channels. The Employee Services Representative ensures that all members of the Toronto Police Service and external contacts receive Human Resource support, while prioritizing issue resolution via investigation, problem solving and collective agreement alignment to ensure a positive member experience.

Duties and Responsibilities:
Performs data entry and/or other administrative activities as required to process timely payroll, benefit and other HR related transactions to members or to ensure timely updates to the system.
  • Maintains up to date and accurate records related to member processing and relevant transactions, electronically, within applicable systems or online files, and/or in paper files, as required by appropriate policy, processes and procedures.
  • Follows up on paperwork and/or missing information.
  • Executes routine system and/or process steps, per pre-defined schedule to meet business objectives/requirements such as uniform and civilian reclassifications, promotions etc.
  • Generates/develops routine reports to various customers/clients.
  • Identifies and resolves basic, routine issues.
Actions and responds to routine customer/client inquiries and requests for service via phone, email and other means, ensuring service levels and performance standards are achieved.

Liaises/follows up with customers/clients as required to gather information, or communicate status, and/or issues.

  • Issues/distributes information, accesses systems/records, and generates responses based on defined policies or processes.
  • Collates information and reviews data as required to support routine administrative processes or responds to customer/client inquiries.
  • Escalates non routine issues as required based on protocol defined.
  • Updates and maintains call tracking logs as indicated by Unit specific procedures.
  • Opens and sorts mail, files and purges records, creates, copies and distributes documents, scans paper files and documents.
  • Schedules and coordinates activities, events, correspondence, meetings as required to support Employee Service Centre service levels.
  • Generates and/or distributes routine correspondence to clients and customers.
  • Performs all other duties, functions and assignments inherent to the position.
Education & Experience:
  • A minimum of Grade 12 education, or an approved equivalent combination of education, training, and experience.
  • A minimum of 2 years in human resources, with experience supporting a Benefits and Payroll function.
Preferred requirements:
  • Post-secondary education (degree, diploma or certificate) in Payroll, Benefits or Human Resources
  • Experience working in a multi-union payroll environment.
  • Experience in the municipal/public sector.
  • Experience with Oracle/PeopleSoft Human Resource Management Systems.
  • Excellent administrative and organizational skills combined with good interpersonal skills.
  • Working knowledge of MS Office suite.
  • Good customer service and oral and written communication skills.
  • Ability to work in a team environment.
  • Works well under well-defined rules, processes, and under tight timelines and stress that can come from unpredictable support volumes.
  • Analysis and problem-solving skills.
  • Ability to adapt to changing priorities
