Information Technology Clerk Position Overview

The Information Technology Department is looking for a detail-oriented and organized Information Technology Clerk to join our team. This role involves clerical work of moderate complexity, providing essential purchasing, inventory, and administrative support to the department.The ideal candidate will bring:

  • Strong attention to detail and excellent organizational skills.
  • The ability to work independently and exercise sound judgment within established procedures.
  • Effective communication skills, with confidence interacting with vendors and internal teams.
  • A genuine interest in managing records and supporting administrative processes.
  • Experience in clerical work, preferably related to purchasing, inventory, or an IT environment.
  • Knowledge of basic procurement and inventory management practices.
  • Proficiency with Microsoft Office applications and database systems.
  • The ability to handle confidential information and manage multiple tasks simultaneously.

  • Perform purchasing tasks related to routine acquisitions of IT hardware, software, and services, including preparing and issuing purchase orders, requisitions, and contract renewal invoices.
  • Communicate with suppliers to obtain price quotes, product information, and delivery schedules.
  • Receive, check, store, and issue computer equipment, software, and accessories.
  • Maintain accurate records of hardware assets, software licenses, and equipment deployments in the department’s databases.
  • Track contract and service renewal dates and maintain appropriate reminder systems.
  • Prepare and maintain departmental records, timesheets, files, and reports.
  • Process invoices, draft correspondence, and assist with the preparation of specifications and other documentation.
  • Enter, retrieve, and verify information in various databases, ensuring data accuracy and integrity.

DESIRABLE TRAINING AND EXPERIENCECompletion of Grade 12, plus sound related clerical experience, or an equivalent combination of training and experience.

KNOWLEDGE, SKILLS, AND ABILITIESSound knowledge of the departmental policies, practices, rules and procedures governing the work.Sound knowledge of modern office practices and procedures, and of the practices and procedures involved in using standard computer systems, software and equipment related to the work performed. Sound knowledge of the practices and procedures involved in records management as related to the work.Working knowledge of purchasing and inventory methods and procedures as related to the work.Working knowledge of elementary bookkeeping principles and practices as related to the work.Ability to perform elementary purchasing work, and to process, track and maintain related records.Ability to receive, check, store, issue and track deployment of IT software and hardware inventory.Ability to prepare and maintain routine files, records, documents, correspondence and reports.Ability to establish and maintain effective working relationships with internal and external contacts.Ability to make routine decisions according to established policies and procedures.Ability to perform clerical tasks with minimal supervision.
