Job Title

Sr. Lease Admin Coordinator- Bilingual (English & French)

Job Description Summary

Responsible for reviewing leased and owned property documents, compiling and maintaining critical location data, including financial and contractual obligations, as part of the lease administration process. This position may be assigned to one or more accounts/clients.

Essential Functions and Responsibilities
  1. Review, abstract, and perform quality control data audits of documents; update and maintain all lease information in our technology systems.
  2. Ensure proper document management; maintain file storage, scan documents, and handle mail.
  3. Review client invoices with lease requirements; collect supporting documentation and verify calculations.
  4. Conduct desktop audits of CAM, Insurance, and Tax reconciliations; interpret charges and resolve discrepancies with landlords.
  5. Ensure accurate financial obligations and timely processing of monthly rents.
  6. Manage subtenant processes, including recording and collection of rent and invoice pass-throughs.
  7. Communicate with internal and external partners about critical dates, policies, and inquiries.
  8. Request and process certificates of insurance as per lease terms.
  9. Review Estoppels and SNDAs against lease agreements.
  10. Respond to property inquiries with good judgment and maintain landlord and subtenant relationships.
  11. Prioritize tasks and create schedules for portfolio objectives.
  12. Manage multiple projects in a fast-paced environment.
  13. Assist with financial and critical date reports, identify savings, record exceptions, and suggest solutions.
  14. Support or oversee special projects and assist with new account transitions.
  15. Help create and update process playbooks.
  16. Guide and train other team members and new hires.
  17. Identify business expansion opportunities and stay updated on industry trends.
Key Competencies

Customer service, communication skills (oral and written), organization, analytical skills, technical proficiency, research, attention to detail, interpersonal skills, sense of urgency. Must be fluent in French and comfortable conversing in both languages.

Education
  • High School diploma or GED required.
  • Bachelor’s Degree preferred, especially in business, finance, real estate, or accounting.
Additional Eligibility Qualifications
  • At least 2 years of experience in auditing or related fields.
  • Expertise in cost analysis, ledger review, contracts, and financial records.
  • Ability to interpret complex lease terminology and financial terms.
  • Proficiency with MS Office Suite.

Professional office environment with standard office equipment.
