Schedule: Full Time, Monday to Friday, 8:00 am – 4:30 pm

We are seeking a professional and highly organized Administrative Assistant to support our fast-paced office environment. This individual will be the first point of contact for Crestline, delivering a positive first impression to visitors, suppliers, and employees. The role provides crucial administrative support across multiple departments and requires exceptional organizational skills, attention to detail, and a proactive approach.
Key Responsibilities
- Greet visitors and callers in a friendly and professional manner
- Answer and direct incoming phone calls, manage incoming/outgoing mail and faxes
- Monitor employee attendance including vacation, meetings, and out-of-office statuses
- Maintain a clean, organized reception and supply area, and ensure appropriate stock of office supplies and refreshments
- Coordinate hotel, travel, and catering arrangements for staff and events
- Support departmental needs by preparing documents such as phone lists, organizational charts, newsletters, posters, presentations, and milestone updates
- Assist HR with candidate greeting, testing coordination, and applicant tracking
- Prepare production-related documents such as traveler binders and vehicle files
- Generate and distribute company newsletters and maintain community boards
- Participate as a member of the Social Committee and contribute to event planning
- Liaise with service providers including vending, shredding, water supply, and postal services
- Collaborate with the Senior Administrator & Office Manager on ad hoc assignments
Qualifications
As the Administrative Assistant you will bring:
Essential
- Post-secondary education in Office Administration or equivalent experience
- Minimum 5 years of administrative support experience, including work with senior management
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with Adobe Illustrator and Draw.io is an asset
- Excellent data entry, document formatting, and communication skills
- Experience operating a multi-line phone system
- Experience with organizational chart maintenance and internal communications
