Position Summary:

Under the supervision of the Associate Director, Administration, the Area Manager is responsible for planning, developing, and implementing business procedures, policies, and processes to support the Administrative Service Centre (ASC) which includes the Institute of Islamic Studies, the School of Information Studies, and the School of Religious Studies within the Faculty of Arts. Performs responsibilities related to Human Resources, and Operations. Develops and implements best practices to enhance the operations of the unit. Participates in the implementation of new initiatives that support the strategic direction of the ASC. Directly manages a team.

Primary Responsibilities:

  • Manage the activities of the ASC by participating in the administration of human resources of the unit, e.g. recruitment, hiring, onboarding, offboarding, and other workday-related tasks (job postings, processing terminations, candidate management, generating offer letters, salary and wage adjustments, reporting and data management). Responsible for recruitment andappointments in Workday of CAS (ranked & unranked), as well as Course Lecturers, research (AMURE) and non-academic (AMUSE) casuals.
  • Liaise with different unions and McGill Labor Relations to resolve disputes related to collective agreements (AMUSE, MCLIU).
  • Manage the activities related to Academic Affairs. Provide support to academic staff and managers.
  • Provide advice to assigned units and directors regarding Faculty and University policies and procedures in the areas of HR and operations. Make recommendations and flag issues.
  • Directly manage a team of 2 administrative staff. Plan, schedule and assign the work in accordance with the unit's goals and objectives and performance. Participate at interviews with HR, probationary/trial period and create objectives and set deadlines.
  • Oversee physical and space resources of the unit, ensuring compliance with university and government regulations and exercising budgetary controls.
  • Provide professional expertise on managing space inventory and interact with facilities service units for the provision of required services to buildings.
  • Analyze needs and assign space for faculty members, administrative staff, students, and ensure that all logistics are correctly in place.
  • Plan and oversee organization of meetings, conferences and special events.
  • Organize documentation requirements and data gathering for accreditation processes in liaison with unit directors.
  • Represent the unit at internal and/or external meetings.
  • Chair weekly meetings with the team to discuss workload, issues, new projects.

Other Qualifying Skills And/or Abilities:

Strong knowledge of McGill’s Human Resources and Academic Affairs practices, policies and procedures for administrative and academic staff. Knowledge of Workday is an asset. Experience managing a unit and supervising a multi-generational staff in a unionized environment. Ability to work independently and as part of a team and to interact effectively and professionally with all levels of academic and administrative staff. Proven ability to communicate effectively and to interact on a professional level with internal and external clients. Strong ability to deal with stressful situations, adapt to change and be a change agent. Proficient in recruiting, appointing and onboarding staff. Ability to streamline processes and identify areas of improvement with human resources. Proven organizational and project management skills. Knowledge of building maintenance and Lenel administration is an asset. Strong understanding of the various collective agreements, AMURE, MCLIU, and AMUSE. Demonstrated ability to work within a computerized environment (word, excel, databases: Workday, FIS, HRIS, SIS and Minerva, and Drupal). Must be able to work on site at McGill downtown campus for 3 days per week. Likely to be able to work from home for 1 or 2 days per week subject to operational needs and supervisor approval.
