Job Overview

The Executive Assistant will provide coordination and administrative support to the Vice President, Operations and Enablement and team by managing administrative activities.

Role Accountabilities

  • Manage email accounts, calendars, and travel arrangements.
  • Concur, team operational items such as technology requests, distribution lists, resources, and preparing the teams for various internal and external meetings.
  • Prepare a variety of correspondence of a diverse and sometimes highly confidential nature, including letters, emails, reports, and presentations for audiences at all levels in the organization.
  • Plan, manage, and host team events virtually and in-person, including team livestreams, team training, and conferences.
  • Review expenses and invoices, coding, submitting for payment while keeping an eye on the applicable budgets.
  • Effectively manage your time and balance multiple, sometimes changing, priorities.
  • Collaborate with others to find efficiencies and deliver exceptional customer service.
  • Coordinate team communications and logistics, including welcoming new members and celebrating milestones.

Qualifications

  • 3+ years of experience in an Administration role supporting directors, VPs, or multiple executives.
  • Degree in Business or other related field of study (or relevant work experience).
  • Strong critical thinking and problem-solving skills.
  • Proficiency in the Google Suite of Office products, especially Google Sheets and Slides.
  • Strong oral and written business communication skills, with high attention to detail; business writing an asset.
  • Superior organizational and time management skills, including coordinating international scheduling.
  • Proven ability to take initiative and work independently in a fast-paced environment.
