Description:

ATCO Frontec Ltd. is seeking a Facilities Project Coordinator to join our team. The Facilities Coordinator will support daily facility maintenance activities, utilizing a Computerized Maintenance Management System (CMMS) for AWR (Additional Work Requests), preventive, and corrective maintenance. All work will adhere to reporting requirements in accordance with contract deliverables, company policy, and site requirements.

Yellowknife, Northwest Territories – Office

Responsibilities:
  1. Actively maintain the CMMS database, entering all locations, assets, preventive maintenance (PM) tasks, PM schedules, vendors, Purchase Orders, and Receipting.
  2. Respond to client inquiries and develop reporting requirements.
  3. Develop and maintain positive relationships with customers, vendors, and maintenance personnel.
  4. Generate, organize, and provide AWR documents and reports to the AWR Manager.
  5. Work with site-based staff to issue purchase orders for materials, tools, or when contract PM, CM, and AWR work is required, as directed.
  6. Maintain project records and maintenance information in an organized manner for easy retrieval.
  7. Develop and issue management reports on a monthly, weekly, and as-needed basis.
  8. Provide timely responses to corporate and project accounting requests for information.
  9. Assist in generating invoicing backup and preparation in collaboration with project accounting.
  10. Follow up with trades and workers to conduct work completion audits.
  11. Oversee day-to-day procedures of facilities project administrators as needed.
  12. Perform other duties as assigned.
Qualifications:
  1. At least 2 years of experience in industrial, commercial, or residential construction project coordination within a customer service environment.
  2. Experience with maintenance management software is preferred but not necessary.
  3. Ability to multi-task and handle a high volume of work accurately while prioritizing.
  4. Proficiency in MS Word, MS Excel, Outlook, and Office 365.
  5. Strong oral and written English communication skills.
  6. Excellent organizational and time management skills.
  7. Ability to work independently or collaboratively.
  8. Experience with databases and electronic file management software.
  9. Strong customer service orientation and results-driven attitude.
  10. Some exposure to general accounting practices and systems is an asset.
  11. Willingness to travel to remote sites as needed.
  12. Valid Class 5 (non-GDL) driver’s license or higher.
