Job summary

OASIS is seeking an Executive Assistant to the CEO to support high-level operations and strategic initiatives. This role involves managing the CEO's calendar, facilitating communication with stakeholders, and organizing board meetings. Ideal candidates will have extensive experience supporting executives and possess strong organizational and communication skills.

Qualifications

  • 8+ years of experience supporting C-suite executives, including CEOs (preferred).
  • Exceptional written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite, QuickBooks, and CRM platforms.

Responsibilities

  • Manage and prioritize the CEO’s complex calendar.

Ontario Agencies Supporting Individuals with Special Needs (OASIS) is a not-for-profit organization representing almost 200 member agencies that provide developmental services to adults and children across Ontario.

MISSION : OASIS strengthens and connects Developmental Services agencies through advocacy, capacity –building, and system-wide leadership.

Position Overview

This is not just an Executive Assistant role – it’s a unique chance to serve as the strategic right-hand to a visionary CEO leading systemic change. You will work closely with senior stakeholders, anticipate needs, navigate complexity, and drive executive-level operations. Your work will directly support OASIS’ mission of advancing high-quality developmental services across Ontario.

Key Responsibilities

Optimize Executive Operations

  • Manage and prioritize the CEO’s complex calendar in alignment with strategic goals
  • Anticipate conflicts, recommend solutions, and optimize scheduling efficiency
  • Maintain stakeholder relationship tracking to support executive effectiveness

Drive Communication & Board Engagement

  • Serve as liaison between CEO, Board of Directors, member agencies, and external stakeholders
  • Draft and edit communications, reports, and presentations for internal and public use
  • Prepare briefing materials and manage the CEO’s inbox and expense reconciliation

Support Governance & Events

  • Coordinate meetings for the Board of Directors, Committees, and Communities of Practice
  • Track and follow up on action items and deliverables
  • Arrange travel and accommodation logistics for CEO and Board
  • Support event planning, including conferences and strategic meetings

Who You Are

  • A proactive and highly organized executive-level professional
  • Adept at balancing structure with adaptability in a fast-paced, multi-stakeholder environment
  • Skilled in communication, discretion, and diplomacy
  • Comfortable working independently and remotely while staying deeply connected to team goals

Qualifications & Skills

  • 8+ years of experience supporting C-suite executives, including CEOs (preferred)
  • Exceptional written and verbal communication skills
  • Advanced proficiency in Microsoft Office Suite, QuickBooks, and CRM platforms
  • Demonstrated experience in complex calendar management and sensitive issue handling
  • Familiarity with nonprofit or developmental services is an asset
  • Willingness to travel within Ontario for key events and meetings
