Job summary

Fairstone Financial Inc. is seeking a Deposit Administrator in Canada to ensure compliant processing of payments and deposits, including RRSP, TFSA, GIC, and RIF products. The role requires strong organization and customer focus in a high-volume environment.

You will support brokers and internal partners, handle year-end tasks, and assist with balance maintenance while maintaining AML standards and high service levels.

Qualifications

  • Postsecondary education in a related field; university degree considered an asset.
  • Minimum of 2 years of relevant experience in finance or compliance.
  • Solution‑oriented with ability to take initiative and work independently and with others within guidelines.
  • Strong organizational, time management, and analytical skills.
  • Excellent written and verbal communication, plus strong interpersonal skills.
  • Ability to manage multiple priorities in a fast‑paced environment.
  • Proficient in Microsoft Office Suite.

Responsibilities

  • Process payments and transfer-outs for registered and non-registered products (RRSP, TFSA, RIF).
  • Handle GIC payments and monthly commissions and withholding taxes.
  • Assist with complaint resolution and escalated service requests.
  • Monitor emails and respond to inquiries from internal partners and brokers.
  • Support GIC, RRSP, TFSA renewals and auto-rollovers.
  • Perform financial adjustments and account maintenance as needed.

About the role

The Deposit Administrator ensures all processing complies with HTC and AML standards while providing exceptional service to all customers, including Oaken Financial and deposit brokers. The ideal candidate needs to be very organized with a strong customer focus and thrive in a high-volume, fast-paced environment.

What you’ll do
  • Payments Process transfer-outs for registered products (RRSP, TFSA, and RIF).
  • Process payment requests for registered and non-registered GICs.
  • Process bulk cheque, monthly commission payments, and withholding tax remittances.
  • Support the resolution of complaints and escalated service requests.
  • Maintain service levels and monitor incoming emails related to various requests.
  • Research and respond to inquiries from internal business partners, including BDMs and the Contact Centre, regarding product and payment status.
  • Liaise with the appropriate team, department, or processor assigned to a case or task to ensure client /broker inquiries are addressed promptly.
  • Participate in year-end tasks and process ad hoc payments.
  • Servicing Support GIC, RIF, RRSP, and TFSA renewals and auto-rollovers to meet business needs.
  • Perform financial adjustments and non-financial account maintenance to meet customer and business objectives.

Risk Management and Compliance Ensure all policies and procedures (e.g., privacy protection and Anti-Money Laundering (AML) requirements) are followed when servicing clients and performing account maintenance.

  • Postsecondary education in a related field or discipline; a university degree is considered an asset.
  • Minimum of 2 years of relevant experience, including demonstrated administrative experience in finance or compliance.
  • Solution-oriented professional with the ability to take initiative and work effectively both independently and collaboratively within established guidelines.
  • Strong organizational, time management, and analytical skills.
  • Ability to manage multiple priorities simultaneously and excel in a fast-paced, deadline-driven environment.

What you can expect - pay & process

Expected base salary range is $50,000 - $55,000, plus the opportunity to earn an annual incentive bonus tied to performance. This posting is for an existing vacancy within our organization.
