Job summary

The Union of Nova Scotia Mi’kmaq (UNSM) Capacity Development department seeks a Projects Administrator (Data Governance) to support Mawkim projects, including surveys, engagement, and ethics watch. Hybrid work at the Membertou Office offers a collaborative environment aligned with Indigenous data governance principles.

The role reports to the Operations Analyst and focuses on documentation, scheduling, reporting, and internal systems across multiple projects.

Qualifications

• Minimum high school diploma or equivalent; diploma/certificate in Office Administration preferred.
• 2+ years administrative and/or executive assistant experience.
• Experience in a multi-project environment is an asset.
• Proficient in Microsoft Office (Word, Excel, PowerPoint), iOS hardware/software, Gmail, and Calendar.
• Proficient in office equipment (printers, photocopiers, etc.).
• Excellent written and verbal communication skills.
• Ability to handle sensitive information with discretion and integrity.
• Strong interpersonal skills and the ability to build relationships with staff, member communities, and external partners.
• Self-motivated, team player in a fast-paced environment; able to complete tasks timely.
• Experience working with First Nations is preferred; travel required; valid driver’s license.
• Ability to understand, speak and translate Mi’kmaq into English is an asset.

Responsibilities

• Provide administrative and coordination support for Mawkim projects and initiatives.
• Prepare meeting agendas, minutes, briefing notes, and reports as required.
• Collect and track project details including timelines, deliverables, and reporting requirements.
• Support external engagement activities, including materials preparation, onsite logistics, registration, evaluation, reporting and expense claims.
• Monitor deadlines and flag upcoming milestones or risks.
• Assist with communications and promotions.
• When required, participate in training, conferences, and meetings.
