This full-time, on-site role focuses on coordinating cross-border and domestic deliveries, maintaining clear communication, and ensuring customer satisfaction through proactive problem-solving. The ideal candidate is bilingual in French and English, with at least 2 years in trucking or transportation customer service, and experience with dispatch systems.

Qualifications

• Minimum 2 years of customer service in trucking or transportation.
• Excellent command of French and English (bilingual).
• Familiar with dispatch systems; able to learn new technologies quickly.

Responsibilities

• Gather and analyze customer requirements to understand expectations, priorities and delivery constraints.
• Coordinate deliveries and freight transfers between branches to meet customer needs.
• Maintain clear and proactive communication with customers, branch locations, and internal teams.
• Track orders and deliveries, manage issues, and communicate changes to customers.
• Collaborate with departments to tailor solutions for customer requests.
• Ensure every delivery meets agreed expectations and supports positive customer experience.
• Monitor and process operational emails in real time and manage dispatch operations.
• Communicate effectively with drivers regarding deliveries and HOS compliance.
• Provide timely updates to customers and resolve issues as they arise.
• Utilize a Transportation Management System; AS400 is an asset.

Location: Vaudreuil-Dorion, Quebec

Schedule: On-site | Sunday to Thursday, 9:00 a.m. to 6:00 p.m.

XTL Transport is seeking a Customer Service & Operations Coordinator to join our Operations team. This role is essential to ensuring the efficient coordination of both cross-border and domestic deliveries. We are looking for a proactive, detail-oriented individual with experience in transportation operations management.

Key Responsibilities

• Gather and analyze customer requirements to understand their expectations, priorities, and delivery constraints.
• Coordinate deliveries and freight transfers between branches to effectively meet customer needs.
• Maintain clear and proactive communication with customers, branch locations, and internal teams throughout the process.
• Track orders and deliveries, manage unforeseen issues, and promptly communicate any changes to customers.
• Collaborate with various departments to develop solutions tailored to specific customer requests.
• Ensure that every delivery meets agreed-upon expectations and contributes to a positive customer experience.
• Maintain a customer-focused approach by delivering professional, personalized, and efficient service aimed at customer satisfaction and retention.
• Monitor and process operational emails in real time.
• Manage dispatch operations, including real-time assignment changes and system updates.
• Communicate effectively with drivers regarding their deliveries.
• Ensure compliance with driver Hours of Service (HOS) regulations.
• Support customers and internal teams by providing timely updates and resolving issues.
• Utilize a Transportation Management System (TMS); experience with AS400 is considered an asset.
• Contribute to the development and adherence of operational procedures.

Requirements

• Minimum of 2 years of customer service experience in the trucking or transportation industry.
• Excellent command of both French and English (required).
• Knowledge of dispatch systems and ability to quickly learn new technologies.
• Excellent typing speed and strong attention to detail.
• Good knowledge of geography and transportation routes.
• Ability to prioritize tasks and perform effectively under pressure.
• Resourceful, self-motivated, and highly organized.
