Job summary

Cole International in Calgary is seeking a Customer Onboarding Specialist to guide new clients through account setup, documentation, training, and implementation.

You will collaborate with Global Trade and Logistics teams to ensure a smooth handoff from sales to service, manage onboarding records, and help clients understand Cole's services. This role offers a collaborative environment with opportunities to grow in international trade and logistics.

Qualifications

• Bachelor's degree or diploma in a related field or equivalent experience.
• Experience onboarding clients, coordinating accounts, or customer success.
• Proficient with Microsoft Office and CRM systems.
• Strong written and verbal communication; detail-oriented and organized.

Responsibilities

• Prepare and guide onboarding documentation and processes for new clients.
• Serve as primary contact for clients during onboarding and training.
• Coordinate with internal teams to ensure timely delivery of onboarding materials.
• Provide resources and support to help clients understand Cole's services.
• Maintain accurate onboarding records in CRM and other systems.
• Identify issues and coordinate solutions to ensure a smooth handoff to ongoing service teams.

What You'll Do

• Prepare legal documentation in accordance with CBSA requirements.
• Guide new clients through account setup, documentation, and required processes.
• Serve as a primary point of contact for clients throughout the onboarding period.
• Provide training, resources, and support to help clients understand Cole's services.
• Coordinate with Operations, Accounting, and other internal teams to ensure information and materials are prepared and delivered on time.
• Support Global Trade and Logistics Specialists with post-sale activities.
• Track onboarding progress and follow up to keep implementation milestones on schedule.
• Maintain accurate onboarding records in CRM and other software systems.
• Identify issues, coordinate solutions, and help ensure a smooth handoff to ongoing service teams.
• Build positive client experiences that strengthen trust and long-term partnerships.
• Share feedback and identify opportunities to improve onboarding processes.

What You'll Bring

• A university degree, college diploma, or an acceptable combination of education and experience.
• Experience in client onboarding, account coordination, customer success, or a related role; experience in customs brokerage or logistics is preferred.
• Strong knowledge of Microsoft Office applications, including Outlook, Word, and Excel.
• Experience working with CRM systems.
• Strong written and verbal communication skills.
• Excellent organization and attention to detail, with the ability to manage multiple clients and priorities.
• A practical, solution-focused approach to problem solving.
• The ability to adapt and stay organized in a fast-paced environment.
• Sound judgment, discretion, accountability, and dependability.
• The ability to work independently while collaborating effectively with colleagues and business partners.

• Ability to communicate effectively in English, both verbally and in writing. Bilingual English/French skills are preferred but not required.
