Job description

Markage is looking for a Corporate Registration & Compliance Specialist to join our Canadian team in an on-site role based in Calgary, Vancouver, or Toronto.

This role focuses on managing corporate registrations, filings, records, renewals, and routine compliance obligations. You will maintain accurate corporate information, prepare and track registration materials, monitor deadlines, and help ensure that routine filings and records are completed consistently across relevant jurisdictions.

You will work with legal and compliance leads, finance, administration, external counsel, registered agents, government registries, and internal stakeholders. Clear communication, reliable follow-through, and careful work are expected.

AI-assisted tools may be used for document preparation, registry research, deadline tracking, summaries, record comparison, and compliance checklists. All AI-assisted work must be reviewed for accuracy, relevance, confidentiality, and fit before it is shared or used.

One in-house opening. This role may be based in Calgary, Vancouver, or Toronto. These are alternative work locations for the same position, not separate vacancies.

Essential duties:
  • Prepare and maintain corporate registration, amendment, renewal, and filing records.
  • Track annual returns, business registrations, licences, renewals, and recurring compliance dates.
  • Maintain entity information, corporate records, supporting documents, and jurisdiction-specific requirements.
  • Research routine registry requirements and confirm forms, fees, submission methods, and supporting information.
  • Prepare filing packages and supporting documents for review, signature, or submission.
  • Monitor filing status and follow up on outstanding documents, approvals, confirmations, or registry responses.
  • Maintain accurate compliance calendars, trackers, reference materials, and proof of filing.
  • Identify inconsistencies or missing information and escalation matters requiring legal judgment.
  • Coordinate with internal teams, external counsel, registered agents, and government offices when required.
  • Protect confidential corporate, ownership, legal, and business information.
Essential requirements:
  • Experience with corporate records, registrations, filings, legal administration, compliance operations, or comparable detail-sensitive work.
  • Strong document control, deadline tracking, research, and record-maintenance skills.

  • Holds a valid Dex Professional Specialist Certification (DEX-PSP) in the Legal domain.
Preferred qualifications:
  • Experience with Canadian corporate registries, annual returns, business licences, or entity-maintenance workflows.
  • Legal assistant, law clerk, paralegal, corporate-services, or compliance-administration experience.
  • Diploma or degree in legal administration, paralegal studies, business, compliance, or a related field.
