Title

Corporate Legal Assistant (1 Year Contract)

Senior Vice President, Legal & Corporate Secretary

Position Summary

The Corporate Legal Assistant to our SVP, Legal & Corporate Secretary provides superior administrative support and coordination to the members of our Legal Department. This role is primarily responsible for calendar management, email management, meeting preparation, legal administration, and other administrative services. It may also include support for project management within the department. The ideal candidate should work well with diverse backgrounds, manage time effectively, think strategically, and act proactively to address challenges or opportunities.

Responsibilities :
  • Manage calendar and schedule/reschedule meetings and appointments for the SVP Legal and other Legal Department members
  • Develop and maintain an organized filing system for easy reference and retrieval
  • Coordinate execution and notarization of documents as required
  • Book boardrooms, prepare agendas, meeting materials, and minutes
  • Prepare reports and correspondence
  • Respond to and screen calls and emails
  • Handle all mail, including courier shipments
  • Coordinate with trustees for meetings and prepare board materials
  • Draft and review legal resolutions, notices, letters, and related documents
  • Research and prepare legal memos
  • Assist with securities law disclosure matters
  • Coordinate acquisition/disposition requests, including due diligence
  • Support property transactions, financing, and land development matters
  • Coordinate with external counsel for transaction closings
  • Prepare expense reports and coordinate invoice payments
  • Address various departmental needs
  • Organize team events to foster engagement
Qualifications :
  • 5-10 years legal support experience
  • Experience in a legal environment
  • Post-secondary diploma or certificate in Law Clerk (asset)
  • Excellent communication and attention to detail
  • Proficiency in Microsoft Office and Diligent Boards
  • Strong organizational and scheduling skills
  • Analytical and critical thinking skills
  • Client-service orientation and relationship skills
  • Ability to multi-task, work under pressure, and adapt to changing needs
