Headquartered in Toronto, the Canadian Olympic Committee (COC) is a national, private, not-for-profit organization committed to high-performance sports excellence. We are the largest private supporter of high performance sport in Canada and we are responsible for all aspects of Canada’s involvement in the Olympic Movement, including the participation in the Olympic and Pan American Games.

Reporting to the Manager, People and Culture, the Coordinator, People and Culture (P&C) is an integral member of the P&C team responsible for providing front line support to COC managers and staff, responding to administration inquiries and providing resolution or guidance and escalate, as appropriate. The Coordinator, People and Culture will perform a variety of administration and coordination duties and will also contribute to various people and culture projects and initiatives.

LOCATION

This position will be located at the COC’s office in Toronto, ON at 250 Yonge St. Suite 3000. The COC offers a hybrid work model that allows for up to two days of remote work each week.

CORE RESPONSIBILITIES AND PRIORITIES

People and Culture Administration

  • Support the P&C team with recruitment duties including job postings, pre-screening of candidates, reference checks and drafting of employment agreement
  • Coordinate the on-boarding for all new hires (i.e., prior to start date and on their first day), including leading the P&C Orientation
  • Perform the full recruitment cycle for entry-level positions, as appropriate
  • Coordinate the COC Intern Program, including:
  • Establish and maintain relationships with colleges and universities that have intern programs that meet COC requirements
  • Lead the recruitment process, including preparation and posting of intern position descriptions, screening and short-listing applications, conducting telephone screens, coordinating interviews
  • Prepare and distribute intern contracts and onboarding materials
  • Lead the onboarding process and ensure interns are engaged and supported during their work term
  • Conduct mid-term check-in and exit interviews with interns and develop recommendations for changes, as required.
  • Support the P&C Team on projects and initiatives, as required
  • Support the P&C team with the annual performance management and compensation cycles, including preparation and distribution of employee letters, collection and filing of performance management documentation and responding to employee questions.
  • Design impactful, aesthetically harmonious, and professional presentations and communications that synthesize complex information into clear and understandable visuals and graphics, suitable for different levels of audience (i.e. P&C Dashboard)
  • Lead the COC Social Committee responsible to plan and coordinate fun in person and virtual events or workshops for COC staff Coordinate and maintain organization charts

Employee Administration

  • Establishes and maintains employee files and maintains employee information in the employee information system (ADP)
  • Track employee training information, policies acknowledgment and other compliance requirements
  • Coordinate training programs and employee engagement events

Payroll and Benefits Administration

  • Act as a first point of contact for any employee benefits or payroll questions
  • Ensure new employees and employees change paperwork is complete and accurate and is submitted to Finance, respecting the regular payroll cycles, and liaise with other departments as appropriate (IT, Office Management)
  • Provide back-up to the payroll and benefit administration functions, as required.

General Administration

  • Maintain the P&C team's event calendar (i.e. training, townhalls, staff retreat, etc.)
  • Manage incoming mail and emails in the recruitment and P&C inbox.
  • Draft correspondence, internal communications, presentations, reports, schedules and confidential materials.
  • Formulate methods to improve employment policies, processes and practices
  • Prepare and process invoices for approval.
  • Correspond with agencies and vendors, as directed.
  • Maintain strict confidentiality in performing the responsibilities of the position.
  • Other duties, as assigned

QUALIFICATIONS AND CRITICAL SKILLS

Education and Experience

  • University degree or college diploma in a field related to human resources management
  • Certified HR Professional (CHRP), or CHRP in progress, an asset
  • 2-3 years of previous HR administration experience

  • Proven organizational and time management skills to respond to varied and often tight deadlines and effectively balance competing stakeholders and agendas
  • High level of personal integrity
  • Impeccable attention to detail and accuracy
  • Excellent client service and interpersonal skills with the ability to deal with employees and managers at all levels and external partners and stakeholders
  • Strong verbal and written communication skills; Bilingualism is a strong asset (English/French)
  • Results oriented with a sense of urgency; work with other staff and stakeholders, as required, and demonstrate a “can do” attitude
  • Adaptable and flexible; eager to learn and share opinions
  • Effective team player, but also comfortable working independently
  • Proficient with computer software applications in a Windows environment
  • Demonstrates and embodies the COC values of Accountability, Excellence, Fun, Respect and Bravery
