Title: Coordinator, Finance and Administration
Classification: Full-time

Reports to: Director, Finance

Athletics Canada is the national sport governing body for track and field, para athletics, cross-country, and road, mountain and trail running. Our purpose is to support high performance athletics excellence at the world level, and to provide leadership in developmental athletics. Athletics Canada is a not-for-profit, charitable organization operating under a Board of Directors elected by provincial/territorial members.

POSITION OVERVIEW

The primary focus of this role is to assist the Director, Finance with the day-to-day operations of the finance department at Athletics Canada. The role also encompasses some administrative duties as required by the organization.

DUTIES AND RESPONSIBILITIES

Accounts payable and receivable, banking, accounting and tax, payroll, and administrative tasks.

  • Ensure all payment requests are appropriately authorized and supported by documentation
  • Review the GL and cost centre coding for accuracy
  • Prepare payment runs for review
  • Manage the filing and storage of invoices and supporting documentation
  • Respond to enquiries as required
  • Issue invoices as required
  • Manage filing and storage of invoices and supporting documentation

  • Coordinate staff to follow up on accounts receivable
  • Prepare deposit slips and action cash requests
  • Assist with the management of corporate credit cards
  • Prepare journal entries and account reconciliations
  • Prepare statutory filings as required
  • Assist with audit enquiries
  • Input and verify payroll information
  • Prepare semi-monthly payroll
  • Prepare statutory filings as required
  • Take and prepare minutes for Board Meetings, Annual General Meeting and Semi-Annual General Meeting
  • Manage supply requests and submit orders as needed
QUALIFICATIONS

Education

  • College or university degree in accounting, finance, or business. Equivalent experience will also be considered.

Specialized and/or Technical Skills

  • Proficient in QuickBooks
  • Proficient with Microsoft Excel, Word, and PowerPoint

Other Qualifications

  • Ability to multi-task
  • Analytical, organizational and problem-solving skills
  • Detail oriented
  • Ability to communicate effectively in French and English will be considered an asset
WORKING CONDITIONS

This is a full-time Ottawa based position with an opportunity for hybrid work. The position includes a benefits package as outlined in the Athletics Canada Human Resources policies. The position requires travelling to the Annual General Meeting (May/June) and Semi-Annual General Meeting (November/December).

COMPENSATION

Compensation will be determined based on the successful candidates’ skills and experience.
