Job Description

Department: FM-PRO (Facilities Management – Planning, Redevelopment & Operations)

Reports to: Manager, Research Laboratory Services

Hours: 37.5 hrs. /week

Status: Temporary Full-Time (18 months)

Closing Date: June 30, 2025

The Research Facilities Coordinator (RFaC) routinely performs functions relating to the support of research laboratory groups and operations of research facilities. Responsibilities include support for equipment selection and purchase, coordination of installation and maintenance; support and/or coordination for utility installations, renovations, and relocations; responsible for ensuring facility access controls are in place. The RFaC collaborates with many hospital service departments such as Facilities, Procurement, Security, Safety Services, Supply Services, and Environmental Services to ensure day to day operations are uninterrupted. The RFaC also oversees projects and/or initiatives that aim to improve the overall lab operations and identifying any gaps for the UHN Research Community. Overall, we aim to help researchers do what they do best – research.

Key Responsibilities

  • Research Facilities & Operations Support


Provide guidance and coordination for research operations, including equipment procurement and installation, renovations, relocations, and safety compliance. Act as a resource for problem resolution and serve as a liaison with internal stakeholders such as UHN Safety Services, Building Facilities, and other Support Services.

  • Equipment & Asset Management


Oversee the purchasing, tracking, and maintenance of research equipment. This includes managing service contracts, negotiating agreements, maintaining equipment databases, and ensuring appropriate training, utilization, and booking systems are in place.

  • Building & Environmental Services Oversight


Manage building operations including emergency and scheduled maintenance, work permits, and tenant support. Oversee environmental services such as cleaning and waste disposal (chemical, bio, and general), working closely with housekeeping, building facilities operators, external service vendors, and the UHN Sustainability team.

  • Access & Security Management


Moderate and approve physical access requests (keys, cards), maintain accurate security data, and address access- and security-related issues in collaboration with the building security office.

  • Financial Administration & Program Development


Support budgeting, invoice reconciliation, and chargeback processes. Identify and implement process improvements, develop SOPs, support emergency preparedness, and participate in cross-functional initiatives and small projects.

Qualifications

  • University degree in Science or Engineering, or recognized equivalent
  • Minimum 3+ years related practical experience with significant exposure to biomedical research laboratories and research equipment
  • Excellent interpersonal and customer service skills. Must be able to implement beneficial change.
  • Roll-up-the-sleeves problem solver who can research root causes and critically assess information accuracy.
  • Ability to read and interpret engineering and architectural drawings.
  • Knowledge of Codes, Regulations, WHMIS, OHSA, Hospital Policies.
  • Knowledge of financial management procedures.
  • Must be capable of maintaining multiple communication channels.
  • Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines in accordance to UHN standards.
  • Exercise initiative and good judgment with ability to multi-task.
  • Compliance with confidentiality requirements.
  • Effective organizational, interpersonal, and communication skills.
  • Knowledge of applicable legislative, UHN and/or departmental policies.
  • Client service oriented, with the ability to effectively work with diversity and appreciate that people with different opinions, backgrounds and characteristics bring richness to the challenge or situation at hand.
