Job summary

MCI Group seeks a Conference & Exhibits Manager to lead exhibit programs from planning through onsite execution. You will work with exhibitors, sponsors, venues, and internal teams to ensure flawless execution of tradeshow elements and sponsor deliverables.

The role emphasizes hands-on exhibit management, strategic planning, and strong coordination across stakeholders in a fast-paced environment.

Qualifications

  • Bachelor’s degree in hospitality, event management, business or related field.
  • 5–7 years of event experience in tradeshow, exhibit, or sponsor activation.
  • Proficiency in Microsoft Office, especially Excel and PowerPoint.
  • Strong organizational, communication and customer service skills.
  • Knowledge of MICE/association industries; Toronto events experience a plus.
  • Bilingual English/French; CEM or CMP certification is a plus.

Responsibilities

Position Overview

As the Conference & Exhibits Manager, you will bring hands-on experience managing tradeshows and exhibit programs from planning through onsite execution. This role is ideal for a strong event professional who has been exposed to multiple tradeshows and understands the practical details involved in exhibitor communications, floorplans, booth assignments, show services, sponsor deliverables, move-in/move-out logistics, supplier coordination, and onsite troubleshooting. While the role will also support broader conference planning and delivery, the primary focus is exhibit and tradeshow management. The successful candidate will be comfortable working directly with exhibitors, sponsors, venues, general service contractors, suppliers, and internal teams to ensure every exhibit-related detail is organized, communicated, and executed to a high standard.

Roles and Responsibilities
Exhibit Management
  • Assess venues, exhibit halls, supplier requirements, loading access, show regulations, and RFP documentation to ensure each tradeshow environment supports the client’s objectives and exhibitor needs
  • Oversee exhibit strategy, floorplan development, booth layouts, booth assignments, exhibitor categories, traffic flow, and vendor coordination
  • Manage exhibitor communications, exhibitor manuals, supplier kits, show service forms, deadlines, materials distribution, and issue resolution
  • Coordinate exhibitor and sponsor deliverables including signage, booth materials, digital assets, furniture, electrical orders, shipping details, and onsite requirements
  • Supervise packing, shipping, advance warehouse details, move-in/move-out schedules, onsite setup, teardown, and exhibitor service needs
Sponsorship Management
  • Plan and fulfill sponsorship deliverables across conferences and exhibit programs
  • Confirm sponsor requirements, deadlines, branding, and activation needs
  • Track benefits and ensure accurate delivery of signage, collateral, digital assets, and recognition
  • Coordinate sponsor communications, materials, approvals, and issue resolution
  • Execute sponsor activations in line with client expectations and brand standards
  • Support promotional messaging and exhibitor/sponsor outreach strategies
  • Negotiate terms with vendors, venues, and partners as required
Strategic Planning & Leadership
  • Lead end-to-end planning and execution of exhibit and tradeshow programs, while supporting or leading broader conference planning and delivery as required
  • Develop and manage event budgets, timelines, and critical paths
  • Collaborate with internal teams and external stakeholders to align event goals and deliverables
  • Provide mentorship and oversight to junior team members and volunteers
  • Maintain documentation standards including function sheets, minute-by-minute schedules, and budget reports
  • Anticipate and mitigate logistical, financial, and reputational risks
  • Ensure events meet legal, ethical, and inclusivity standards
  • Assess venue compliance requirements to minimize risks during planning and execution phases
Onsite Execution
  • Lead onsite exhibit operations, including show office coordination, exhibitor move-in, booth setup, supplier support, sponsor activations, exhibitor questions, and real-time troubleshooting
  • Ensure exhibit, sponsorship, registration, signage, and related event elements are delivered according to approved timelines, floorplans, service orders, and client standards
  • Manage onsite teams and troubleshoot issues in real-time
  • Oversee exhibitor experience on the show floor, including booth readiness, sponsor visibility, traffic flow, supplier responsiveness, and attendee-facing details
Post-Event Reporting & Analysis
  • Lead post-event debriefs and reporting
  • Analyze performance metrics and identify areas for improvement

Qualifications
  • Bachelor’s degree in hospitality, event management, business administration, or related field
  • Minimum 5-7 years of event experience, including significant hands-on exposure to tradeshow, exhibit, or sponsor activation environments
  • Proven leadership and team management experience
  • Proficiency in Microsoft Office Suite (especially Excel and PowerPoint)
  • Strong organizational, communication, and customer service skills
  • Knowledge of the MICE and association industries, with experience supporting events and tradeshows of 500-2,000 attendees in the Toronto market
  • Bilingual English/French is an asset
  • CEM or CMP certification is a strong asset
