What You’ll Do
- Input client information, maintain registers, assign file numbers, update manuals, and prepare medical, legal, and other reports, charts, tables, letters, presentation materials, and newsletters. Prepare and distribute meeting minutes. Distribute documents and files as requested.
- Gather and compile information such as client statistics. Set up and maintain filing systems, index files, and conduct file searches. Reply to routine correspondence.
- Operate a multi-line switchboard or phone, direct calls, relay messages, and receive visitors.
- Answer general inquiries.
- Receive, sort, and distribute incoming and outgoing mail, faxes, internal correspondence, and courier documents. Sign for packages and shipments.
- Assist with client intake, obtain information, complete documentation, and summarize information. Schedule and confirm appointments, send reminders, and maintain clinic flow.
- Handle financial transactions, including receiving payments and issuing receipts.
- Place purchase orders, receive supplies, check invoices, and store/distribute supplies.
- Prepare and package supplies for shipping; contact couriers and prepare waybills.
- Perform other related duties as assigned.
What You Bring
- Post-secondary education from a recognized business or secretarial program, supplemented by courses in medical/scientific terminology or relevant training.
- Three years of administrative experience in a medical/scientific environment.
- Understanding of medical, scientific, research, or IT terminology.
- Proficiency with word processing, presentation, spreadsheets, databases, browsers, and email software.
- Problem-solving skills, customer service orientation, sound judgment, organization, and interpersonal skills.
- Typing speed of at least 50 words per minute.
- Effective oral and written communication skills in English.
- High accuracy, attention to detail, and ability to independently check for errors.
- Ability to prioritize projects to meet deadlines.
