Qualifications

Responsibilities

  • Reception & Customer Service - Serve as the first point of contact for staff, clients, and external stakeholders in person and over the phone.
  • Respond to inquiries, provide routine information, and elevate issues as needed.
  • Maintain professional and courteous communication at all times.
  • Administrative & Clerical Support - Perform office functions, including faxing, photocopying, filing, document preparation, and record management.
  • Arrange and schedule meetings, prepare agendas, and take minutes.
  • Monitor, organize, and order office and clinical supplies.
  • Support program activities, evaluation, and research initiatives as required.
  • Data & Information Management - Update and maintain client databases and tracking systems.
  • Input admissions, visits, staffing, and other operational data accurately.
  • Maintain confidentiality and comply with privacy legislation in all data handling activities.
  • Staffing Coordination - Coordinate staffing resources, including scheduling, re-assignment, and communication with team members.
  • Facilitate smooth operations of units during weekends, holidays, or periods of high demand.
  • Collaborate with administrators or supervisors regarding staffing needs.
  • Collaboration & Liaison - Liaise with internal teams, service departments, and external partners to meet operational and administrative needs.
  • Support positive relationships within the team and with external stakeholders.

They manage client data, track census and admissions, coordinate staffing, and maintain accurate records, acting as a key point of contact for staff, clients, and external stakeholders. By facilitating communication, organizing resources, and supporting program and operational initiatives, they help the team function efficiently and provide high-quality client care. Additionally, they uphold confidentiality, privacy legislation, and contribute to a collaborative, inclusive, and professional work environment.

Qualifications
  • Secondary school diploma and/or completion of relevant courses.
  • Minimum six months of relevant administrative experience.
  • Proficiency in Microsoft Word, Excel, Access, and database programs.
  • Strong clerical skills and ability to maintain accurate records and apply policies and procedures.
  • Knowledge of privacy legislation and client confidentiality requirements.
  • Excellent organizational, time management, and communication skills.

Nice-to-Haves

Salary Range

$24.76 – $30.52 per hour
