Job description

Position Summary

The Church Administrator serves as the central communications and administrative hub of the church,
supporting the Minister, leadership, congregation, and community. This position balances administrative
operations with some digital communications to ensure the efficient day-to-day functioning of the church while
fostering clear, engaging, and timely communication across multiple platforms.

The successful candidate is organized, self-motivated, technologically proficient, and able to work
independently while managing multiple priorities with professionalism, discretion, and a welcoming spirit.

Key Responsibilities
Administrative & Office Management
  • Welcome visitors, answer telephone calls, process mail, and respond to email inquiries in a friendly, timely, and professional manner, directing inquiries to the appropriate staff or ministry.
  • Maintain organized church records and files (paper/electronic), ensuring accuracy, confidentiality, and accessibility.
  • Update and maintain church management software and congregation membership/contact information in collaboration with the Roll Clerk.
  • Manage office supplies, equipment, and inventory, arranging maintenance and ordering supplies within approved budgets.
  • Coordinate meeting logistics and prepare agendas, materials, and correspondence for Congregational meetings.
  • Maintain church calendars, including facility bookings, meetings, and events.
  • Coordinate church facility rentals and serve as the primary contact for renters, assisting with questions and directing issues to the appropriate individuals.
  • Greet and direct service personnel for scheduled building and grounds maintenance visits.
  • Complete general administrative duties and other tasks as assigned by the Minister or church leadership.
Digital Communications & Media
  • Serve as the primary coordinator for the church’s digital communications.
  • Prepare and distribute digital electronic newsletters and other congregational email communications using platforms, as required.
  • Prepare weekly worship bulletins (and special bulletins as required).
  • Manage and regularly update the church website and social media platforms.
  • Create engaging digital content, including graphics, announcements, presentations, and promotional materials using Canva and other design tools.
  • Assist in developing communication materials for worship services, Christian education, special events, and ministry programs.
  • Coordinate communication with local churches, community organizations, and denominational partners to promote church events and initiatives.
Financial & Records Support
  • Assist the Treasurer with administrative and financial requests.
  • Maintain accurate records related to donations, correspondence, and church administration while ensuring confidentiality.
  • Knowledge of basic bookkeeping functions and willingness to learn Quickbooks data entry.
Qualifications & Experience
  • Preference is two to three years of experience in church administration, office administration, or a similar role.
  • Demonstrated experience managing digital communications, including newsletters, social media, websites, and presentation software.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Publisher), Canva, MailChimp and social media platforms.
  • Strong written and verbal communication skills, particularly in digital communications.
  • Excellent organizational, time management, and prioritization skills, with the ability to manage multiple responsibilities independently.
  • Strong attention to detail and commitment to producing high‑quality work.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Friendly, compassionate, and professional interpersonal skills when interacting with congregants, volunteers, visitors, and community members.
  • Self‑motivated with a willingness to learn new software and technologies.
  • Successful completion of a Police Criminal Record Check.
  • Training or post‑secondary education in office administration, communications, bookkeeping, marketing, graphic design, or a related field.
  • Familiarity with the teachings and governance of The Presbyterian Church in Canada.
  • Active member or adherent in good standing of a congregation within The Presbyterian Church in Canada is considered an asset.

General Conditions
  • Part‑time in‑person position. 12 hours per week – Minimum three days starting at 9 AM.
  • Rate of pay is negotiable with annual review increases.
  • For day‑to‑day operations, this position supports the Minister.
