Job summary

Primary Purpose:

Responsible for leading daily warehouse and material flow operations, ensuring accurate receiving, storage, movement, distribution, and documentation of materials. Oversees inventory control, special-order material management, NCR resolution, team performance, safety compliance, and continuous improvement initiatives to support efficient warehouse operations.

Key Responsibilities
Leadership and Daily Operations
  1. Attend and actively participate in the daily Morning Toolbox Meeting.
  2. Coordinate daily warehouse activities and assign tasks to team members based on operational priorities.
  3. Monitor workflow to ensure materials are processed efficiently and deadlines are achieved.
  4. Provide guidance, training, and support to warehouse personnel to ensure adherence to established procedures.
  5. Promote teamwork, accountability, and a positive work environment.
  6. Motivate and support team members in achieving departmental goals and professional development objectives.
Material Requisition and Distribution
  1. Prepare and submit material requisitions for required materials from WH #2.
  2. Coordinate transfers of excess materials from the Main Warehouse to WH #2.
  3. Ensure special-order materials are accurately identified, processed, and delivered to requesting departments.
  4. Monitor and prioritize material requests to prevent production delays.
  5. Ensure all special-order materials are labeled using the designated monthly color-coding system.
Receiving and Inventory Control
  1. Receive incoming materials and verify quantities, descriptions, and documentation for accuracy.
  2. Label received materials with the receipt date and store them in designated locations.
  3. Report damaged goods, missing documentation, discrepancies, or shortages to the Receiving Administrator.
Material Movement and Documentation
  1. Track and maintain accurate records of material movements, including Bills of Lading, transfer documentation, and trip times.
  2. Monitor warehouse transactions to ensure accurate documentation of incoming and outgoing materials.
  3. Verify that all material movements are completed in accordance with company procedures.
  4. Ensure materials are properly packaged, labeled, and inspected prior to shipment or transfer.
Warehouse Organization and Auditing
  1. Conduct daily audits to verify materials received on the previous day are stored in designated locations.
  2. Maintain accurate material identification and storage locations throughout the warehouse.
  3. Organize and maintain quarantine areas to ensure compliance with quality and operational requirements.
  4. Maintain and manage warehouse bin location mapping to ensure accurate material storage, traceability, and efficient retrieval of inventory.
  5. Review and update warehouse bin locations as required to support inventory accuracy and optimize storage utilization.
  6. Ensure warehouse aisles, storage areas, and workstations remain clean, organized, and free of hazards.
NCR and Return Material Management
  1. Review and assist in resolving outstanding Non-Conformance Reports (NCRs).
  2. Coordinate the return of rejected materials to suppliers in accordance with Purchasing Department requests and Return Material Authorization (RMA) procedures.
  3. Ensure all rejected material transactions are properly documented and tracked.
  4. Follow up on open NCRs and supplier returns to ensure timely closure.
Safety and Compliance
  1. Conduct bi-weekly hazard and risk assessments throughout warehouse areas.
  2. Ensure corrective actions are implemented promptly for identified safety concerns.
  3. Monitor employee compliance with company safety policies, procedures, and regulations.
  4. Promote safe material handling practices and proper use of warehouse equipment.
  5. Report safety incidents, near misses, and unsafe conditions to management immediately.
Continuous Improvement
  1. Identify opportunities to improve warehouse processes, material flow, and operational efficiency.
  2. Recommend and implement process improvements to reduce waste, improve accuracy, and enhance productivity.
  3. Support departmental initiatives related to quality, inventory control, and operational excellence.
  4. Monitor operational performance and communicate improvement opportunities to management.
Equipment Operation
  1. Operate forklifts, pallet jacks, and other material handling equipment safely and efficiently (where certified).
  2. Conduct pre-operational inspections of equipment and report deficiencies promptly.
  3. Ensure warehouse equipment is used, maintained, and stored according to company requirements.
Required Skills and Qualifications

  • Knowledge of warehouse operations, receiving, shipping, and inventory control processes.
  • Experience handling NCRs, RMAs, and material documentation.

  • Strong verbal and written communication skills.
  • Proficient computer skills, including Microsoft Excel, Microsoft Word, and ERP systems.
  • Forklift certification preferred or required based on operational needs.
  • Thorough understanding of workplace health and safety requirements.
  • Knowledge of warehouse bin location mapping, material traceability, and inventory location management.
  • Ability to maintain accurate warehouse layouts, storage locations, and inventory records.
Work Schedule & Availability Requirements
  • This position requires flexibility to work overtime as needed to support operational and business requirements.
  • Must be available to work extended hours and Saturdays when required to support warehouse operations, inventory activities, special projects, and production demands.
  • Availability to accommodate changing business needs and work schedules is an essential requirement of this position.
