Qualicare Calgary is seeking a Scheduling Coordinator to connect clients with caregivers, keep schedules running smoothly, and support our care team and families. You will work closely with care and HR coordinators to ensure the right information is available at the right time.

The role emphasizes organization, proactive problem-solving, and compassionate service in a fast-paced home care setting, with opportunities for advancement and ongoing training.

Responsibilities

• Connect clients with care by coordinating caregiver schedules that meet each client’s needs and care plan.
• Be the First point of contact answering inquiries and setting a tone for the quality of our services.
• Work closely with the Care Coordinator to understand client needs and changes in care requirements when building schedules.
• Collaborate with the HR Coordinator to support caregiver availability, onboarding information, documentation, and other team needs.
• Monitor referrals, client volumes, staffing levels, and upcoming scheduling needs.
• Respond promptly to client and caregiver questions, changes, and unexpected challenges.
• Anticipate staffing needs and identify potential scheduling gaps before they arise.
• Ensure information is communicated clearly via phone, email, or in person.
• Assist with tracking and validating client-related documentation.
• Check in on client satisfaction to learn what’s working and what to improve.
• Turn incidents, complaints, and compliments into timely solutions with proper documentation.
